Set up project template recurrence and generation options
Use the
Recurrence
window to specify recurrence rules, dates, and generation options for a project template.
To set up a project template's recurrence and generation options, open the
Recurrence
window from the project template record.
Open the
Recurrence
window.
Choose
Setup
Templates
Projects
, select
Add
to create a new template or
Edit
to modify an existing template, and then select the
Recurrence
button.
Set the recurrence frequency and due date.
From the
Pattern
dropdown list, select a recurrence option, and then specify the due date using the fields following the list.

The due date options following the
Pattern
field change depending on the recurrence you select.
If you select
None
, no due date options are available.
If you select
Periodic
, select at least one month from the dropdown list and enter a day of the month in the field provided.
Optional: Adjust the due date behavior.
You can mark one or both of the following checkboxes:
Must occur on weekdays
: Adjusts a project due date that falls on a weekend to the following weekday.
Base on Client fiscal year ends
: Bases the project due date on the client's fiscal year-end date.
Set the target dates.
Start
: Enter values in the
month(s)
and/or
day(s)
fields, and then select
Before due date
or
After received date
from the dropdown list.
Complete
: Enter values in the
month(s)
and/or
day(s)
fields, and then select
After received date
or
Before due date
from the dropdown list.
Set the template expiration.
To generate a limited number of projects, select
End after
and enter the number of occurrences. For ongoing projects, select
No end date
.
Choose how future projects are generated.
In the
Generation
section, specify when to generate the next schedule item:
When current Schedule Item is complete
: Generates the next project when the current schedule item is completed. This is the default option.
month(s) / day(s) before due
: Enter the number of months and/or days before the next project is due to generate it. This option lets you delay future project creation until closer to the due date.
When I manually create it
: Generates the next project only when you create it manually.
Generate all
: Generates all projects immediately.

is unavailable when
No end date
is selected.
Optional: Select project generation options.
If you want the next generated project to use information from the current project instead of from the template, under
Generate using the current Project's
, mark the checkboxes for the data you want to transfer forward:

Engagement
Grouping selections
— Uses the current project's Responsible, Assigned, and/or Department values.
Assigned selections
Calendar Entries
— Rolls over project calendar entries.

Calendar Entries
is available only when
Assigned selections
is selected.
Calendar entries are the scheduled times for the project that appear on the calendar in Staff Management. Rolling them over can be useful when you expect the same person to work on the same project again. While you may need to adjust the scheduled date and time, the rollover helps you view staff availability in advance and plan future schedules based on the current year's schedule.
Optional: Enter budget adjustment factors.
If actual amounts differ from budgeted amounts, enter a value from
0
to
99
to represent the percentage increase or decrease.
To increase hours by 10%, enter
1.1
in the
Hours
field.
To decrease hours by 10%, enter
0.9
in the
Hours
field.
The project template is configured with the selected recurrence schedule, target dates, expiration settings, and project generation options.
