Billing Worksheet report

Use the Billing Worksheet report to make informed billing decisions. The report gives comprehensive billing information but you can also use it to find only the information you need.

  • WIP Detail
    : Limit WIP to a specific date range. WIP dated before the specified WIP detail range is included in a balance forward row, and WIP dated within the range is shown in detail.
  • Billed Detail
    : Include billed entries within a specified date range. To run the report as a prebilling worksheet, select
    None
    for this section.

    If you decide to include billed detail, the Billing Worksheet doesn’t put that billed detail onto the corresponding line of WIP that those billings relieve. However, that line of WIP will have its hours and amount reduced (prorated) by the amount of the billings. This can lead to confusion when you analyze cumulative total hours or total WIP amounts with this option enabled.
    The date range applies the WIP on the report and the Billings on the report. This can cause problems in some cases. For example, if you want to only see current month billings, you can filter the
    Billed Detail
    to be current period, so that it only includes the current period billing amounts on the report. However, if any of the WIP that was billed in the current period was dated in a prior period (that is, carryover), then the report will exclude that WIP from the report. This means that the
    Bill Amount
    column is also reduced by the amount billed for that WIP item, and so the amount billed doesn't tie to what was actually billed for the period.
  • Open Time & Expense Entry
    : You can find any item within the Billing Worksheet report within the detail line to open the Time & Expense Entry screen for that item.
  • Group clients and detail
    : Clients within the report can be grouped by client information, while the detail within each client can be grouped by activity, engagement, and staff information, as well as the entry or sheet date. It can also group detail by project or task information if you are a licensed user of the Project Management module.
  • Use Layout tab checkboxes to include more information:
    • Include Non-Billable
      : Includes non-billable items on the report. The report will show all non-billable time that hasn’t been “relieved” in the
      Nonbillable
      tab of
      Detail Billing
      .
    • Contact Information
      : Client's primary address and phone number.
    • A/R Open Items
      : Items in the accounts receivable balance that are not yet allocated.
    • WIP and A/R Aging
      : An aging of the total WIP or total A/R as of the report date, including the last invoice and last receipt to show the activity related to aging.
    • 24 Period History
      : Totals for a given period for Produced (the amount of time and expenses created), Adjusted (billing adjustment amount), Invoiced (the time/expense extension amount + billing adjustment + surcharge - discount + taxes), and Collected (the total receipts).

When Billing Worksheet doesn't tie to other reports

Check for the following situations:
  • Unposted invoices: These won’t reduce other reports, but it will reduce the Billing Worksheet.
  • Future transactions: WIP relieved with a date beyond the current period won’t appear on the Billing Worksheet, unlike other reports.
  • Inclusion of non-billable transactions: If these were assigned a billing rate, they’ll have an extended WIP amount.
