Set up billing preferences

Configure billing preferences to control how you bill clients and engagements, how WIP displays during billing, and how the application handles rounding and credits.
To open the Billing tab, go to
Setup
User Preferences
, then select the
Billing
tab.
Your firm's administrator can define default billing preferences for new staff at
Setup
Preferences
. Staff members with security permissions can change these preferences at any time. To restore the firm's defaults, select
Reset to new Staff defaults for Firm
.

Settings

  • Default invoice date
    : Select the default invoice date for each client in Detail Billing. Select
    Today’s date
    ,
    Period end date
    , or
    Last date used
    .
    note
    This date acts as a WIP cut-off. The application makes only WIP dated on or before this date available for billing.
  • Default WIP through
    : Select a date from the dropdown list to set the WIP period you want to bill. This date must fall on or before the invoice date. To enter a specific date, select
    Custom
    and choose a date from the calendar.
    note
    This date acts as a secondary WIP cut-off, further restricting the WIP available to include on an invoice.
  • Automatically apply open credits
    : Mark this checkbox to have the application automatically apply open credits — such as receipts, credit memos, or write-offs — to a client's invoice when you save it. The application applies the full credit amount, or a partial amount if the invoice total is less than the available credit. The application applies the oldest credits first.

    This option is available only if you haven’t enabled the billing approval process. You apply credits automatically with Detail Billing, Quick Bill, Standard Bill, recurring bills, and integrated invoices.
  • Automatically display Apply Open Credits dialog
    : Mark this checkbox to have the
    Apply Open Credits
    window open automatically when you save an invoice for a client with open credits in Detail Billing. In this window, you can enter credit amounts manually or let the application apply them automatically.

    This option is available only if you haven’t enabled the billing approval process.
  • Implied decimal on amounts
    : Mark this checkbox to have the application automatically append
    .00
    to amounts you enter. When this checkbox is cleared, the application inserts a decimal 2 places to the left of the number you enter.
  • Mark zero invoices as printed
    : Mark this checkbox to flag zero-dollar invoices as printed and exclude them from invoice and statement printing.

Selection

  • Bill by
    : Select
    Clients
    ,
    Engagements
    , or — if you are licensed for the Project Management module —
    Projects
    from the dropdown list. Your selection determines whether the Billing screen displays client engagements or clients only.
  • Show WIP when selecting clients to bill
    : Mark this checkbox to display WIP balances in the
    WIP Amt
    column on the Billing screen. Clear this checkbox to hide the column during billing.
  • Automatically select subsidiary clients when selecting parent clients
    : Mark this checkbox to select all subsidiary clients in a client family automatically when you select the parent client for billing. The application selects subsidiary clients even if a filter or search hides them from the list.
    note
    To designate a client as a subsidiary, mark the
    Subsidiary Client in Client family
    checkbox on the
    Billing and A/R
    tab of the Clients setup screen.

Detail Billing

  • Start-up
    tab: Select the tab you want the application to open by default when you open Detail Billing (
    Summary
    or
    Time & Expenses
    ).
  • Automatically check spelling
    : Mark this checkbox to have the application check spelling during billing.

Bill at standard rounding

Select a rounding method to apply when billing at standard:
  • No rounding
    : The application doesn’t round billing amounts. This is the default.
  • Standard rounding
    : The application rounds fractions from 0.00 to 0.49 down, and fractions of 0.50 or greater up.
  • Always round up
    : The application rounds any fractional amount up to the nearest rounding increment.
If you select a rounding method, enter a dollar amount in the
Rounding increment
field.

Time & Expense descriptions

Mark the checkbox for each item you want to display in the
Time & Expenses
tab of Detail Billing:
  • Client
  • Engagement
  • Project
  • Staff
  • Activity
  • Comment
  • Biller Note

to save your preferences and close the
User Preferences
window.
