Control how staff assign items from the Work Queue

Use security group settings to control whether staff can select any item from the Work Queue or can only assign the next available item to themselves.
When you assign schedule items such as projects and tasks to the Work Queue, staff can select items and assign them to themselves. In some cases, you may want to prevent staff from selecting specific items and instead require them to assign only the next item in the queue.

Prevent staff from selecting specific Work Queue items

To prevent a staff member from selecting specific items from the Work Queue, remove their access to the Work Queue portlet in the security group they belong to. Without access to the Work Queue portlet, the staff member can't add it to their Staff Dashboard, view items in the Work Queue, or access the
Assign Selected to Me
button.
Instead, the staff member can only assign a schedule item to themselves by selecting the
Assign Next in Work Queue
button in the Schedule Items portlet.

Assign Next in Work Queue

When a staff member selects the
Assign Next in Work Queue
button, Practice CS assigns the 1st schedule item in the Work Queue that meets the following criteria:
  • If the item is a task, it must have a status of Ready.
  • The item has the earliest Target Start Date.
  • If the schedule item has a Staff Qualifications filter, the staff member meets the filter criteria.
  • The staff member has enough available time in their schedule to complete the item by the Target Complete date.
