Schedule a meeting

If your firm is licensed for the Staff Management module, you can schedule meetings among firm staff.
Your firm must be licensed for the
Staff Management
module.
Staff members who schedule meetings must have add and edit security permissions for
Schedule Items
.
  1. Open the
    Meeting
    window.
    Select the
    Add
    button on the main toolbar, and then select
    Meeting
    .
  2. Enter a meeting description.
    In the
    Description
    field, enter a description of the meeting.
  3. Select a client.
    In the
    Client
    field, select a client if the meeting is related to a specific client.
    If the meeting is not related to a client, leave this field blank.
  4. Select an engagement.
    If you selected a client, select an engagement in the
    Engagement
    field.
    note
    If no client is selected, the
    Engagement
    field is unavailable.
  5. Select an activity.
    In the
    Activity
    field, select an activity if needed.
  6. Set the meeting priority.
    In the
    Priority
    field, select
    Low
    ,
    Normal
    , or
    High
    .
  7. Enter the meeting dates and times.
    In the
    Dates / Time
    section, enter the beginning and ending dates and times.
    If the meeting is an all-day event, select the
    All day event
    checkbox.
  8. Set a recurrence for the meeting, if needed.
    Select the recurrence button to open the
    Recurrence
    window, and then define the meeting frequency and dates.
  9. Invite staff members to the meeting.
    Select the
    More
    button next to the
    Staff
    field, and then select the staff members to invite.
    You can also select
    Schedule
    and drag the meeting onto staff members' calendars to invite them.
  10. Set a reminder, if needed.
    Select the
    Reminder
    checkbox, and then select the reminder time from the dropdown list.
  11. Enter additional meeting information, if needed.
    In the
    Notes
    field, enter any additional information about the meeting.
  12. Review staff availability and adjust the schedule, if needed.
    Select
    Schedule
    to open the
    Scheduling
    window, where you can verify attendee availability.
    In the
    Scheduling
    window, you can drag the meeting to reschedule it, change its length, and add or remove invitees.
  13. Save the meeting.
    Select
    OK
    .
The meeting is added to the schedule for all attendees and can be viewed on their calendars and in the
Schedule
portlet on the
Staff Dashboard
.
