Delete a time and expense entry
- If you haven't completed the transaction: press theEsckey to delete the value in the current field, thenEscagain to delete the entire transaction.
- If the transaction was previously entered and completed: right-click on the gray box at the beginning of the transaction then selectDelete Entryfrom the context menu.
Unable to delete time / expense entry
You can only delete time and expense entries if there's no history or data of any type, or references to the time in the database. This is necessary to maintain data integrity. Historical data may include:
- Receipts and adjustments.
- Service charges.
- Invoices.
To resolve this and delete the entry, find and delete all data associated with it.
Find and delete receipts and adjustments
- SelectActionsthenReceipt & Adjustment Entry.
- If the Approve and Post process for Receipt & Adjustment Entry is turned on:
- On theReviewtab, clear theUnapproved onlyandUnposted onlycheckboxes.
- Filter for the invoice where the time was billed, then unpost and unapprove all control sheets on the screen.
- Go to the Overview tab.
- Filter for the project or project template.
- Mark theControl Datecheckbox on the first transaction. Go to the last transaction and, while pressing the SHIFT key, mark theControl Datecheckbox in the last transaction.
- Right-click theControl Datecheckbox on any of the selected transactions, then selectDelete Entryfrom the context menu.
Find and delete all invoices
- SelectActionsthenBilling.
- Select theReviewtab.
- IfApprove and Post process for Billingis turned on, clear theUnapproved onlyandUnposted onlycheckboxes.
- Filter for the invoice where the time was billed.
- Right-click and chooseSelect Allfrom the context menu.
- Right-click and selectDelete Selectedfrom the context menu.
- If there are service charges that prevent you from deleting the invoice, make a note of the clients and invoices affected, then delete the service charges.
- Once the service charges have been deleted, delete the invoice again.
Delete all service charges
- Use the list of affected clients and invoices you created when you deleted invoices.noteYou'll only need to delete service charges associated with the invoices you attempted to delete earlier.
- Print a Service Charge Journal filtered for the client.
- Starting with the newest service charge:
- SelectActionsthenAssess Service Charges.
- Enter theThroughdate equal to the newest date on the Journal.
- Find the service charge for this client and mark the checkbox.
- Right-click and selectUnpost Selectedfrom the context menu.
- Repeat steps 3 and 4 for each date, in reverse date order.
