Understand dates in time and expense entries

There are 2 dates associated with every time and expense transaction entered in Practice CS.
  • Date
  • Sheet Date

Date

  • This is the posting date of the transaction: the date on which the WIP represented by the transaction is effective.
  • The
    Date
    may or may not be the same as the
    Sheet Date
    . If the timesheet includes transactions for 1 day, the
    Date
    and
    Sheet Date
    are usually the same. If the timesheet includes transactions for more than 1 day, such as a week or month, then most Dates will not be the same as the
    Sheet Date
    .
  • Enter the
    Date
    directly on the transaction line.
  • You can have the application enter the
    Date
    for you by setting a
    Default Date
    in
    Time & Expenses User Preferences
    . If you set a default date, you can choose to skip the
    Date
    box when you enter a time or expense transaction. If you choose to skip
    Date
    , you can hide it to remove it from the screen.

Sheet date

  • The
    Sheet Date
    , along with
    Staff
    , are used to identify a group of time and expense transactions, also known as a timesheet.
  • The Sheet Date is
    not
    the posting date and has no effect on when a transaction is available to bill or is included in a client's WIP balance. The
    Date
    of the transaction determines when the transaction is posted.
  • The
    Sheet Date
    may be the same as the
    Date
    field in the transactions in the timesheet. If the timesheet includes transactions for 1 day, the
    Sheet Date
    and
    Date
    are usually the same. If the timesheet includes transactions for more than 1 day, such as a week or month, then the
    Sheet Date
    will be the same as only a few, if any, transactions in the timesheet.
  • Enter the
    Sheet Date
    at the beginning of the
    Time & Expense Entry
    screen. It applies to all transactions in the timesheet.
  • You can have the system enter the
    Sheet Date
    for you by setting a
    Default Sheet Date
    in
    Time & Expense Entry User Preferences
    . If you set a
    Default Sheet Date
    you can choose to skip the
    Sheet Date
    when opening a timesheet. Your default options are:
    • Today's (system) date
      .
    • Most Recent
      : the latest date on which 1 or more time and expense transactions were previously entered.
