Mail Merge template conversion guide
Update older SignatureFlow CSV files and Microsoft Word templates so they work with the latest version of SafeSend Signatures Mail Merge.
This guide explains how to update older templates that used SignatureFlow to the latest version of SafeSend Signatures with Mail Merge. Mail Merge documents consist of two parts: a CSV file and a Microsoft Word template. Both must be updated to work with the latest version.
Before you begin
- Install the latest version of the Mail Merge application and open Microsoft Word to add the SafeSend Signatures plug-in.
- Make backup copies of your existing SignatureFlow CSV file and Microsoft Word template.
Update CSV files
- Open your old CSV file in a spreadsheet program such as Microsoft Excel.
- Make sure there is a column header namedTaxPayerName. This is a required column. All rows in the CSV file must include an entry in theTaxPayerNamecolumn.
- Do not make changes to the cell that contains the version number.
- Save the file in CSV format.
Use this updated file for your Mail Merge activities.
Update Microsoft Word templates
- Open your old Microsoft Word template in Microsoft Word.
- Delete all fields in the document that were placed with SignatureFlow. These include, but are not limited to:
- {{_es_:signer1:signature}}
- {{_es_:signer1:Date}}
- {{_es_:signer2:signature}}
- {{_es_:signer2:Date}}
- Insert new fields in the document by using SafeSend Signatures fields.
- Go to theSafeSend Signaturestab and clickMail Merge.
- Insert theTaxPayerNamefield somewhere in your document.noteTaxPayerName is a required field in the Microsoft Word template. Without it, errors occur when you attempt to perform a mail merge.
- Insert other fields as needed.
- Save the new Microsoft Word template file.
