Signature Reports
Use Signature Reports to monitor document status, manage access, send reminders, download signed documents, cancel documents, and work with archived or deleted records.
The SafeSend Signatures Reports section lets you view the status of documents sent to clients. You can use Reports to download signed documents, send reminders, cancel documents for signature, and manage archived or deleted records.
Set access
You can restrict access to any signature document. The default setting is firm-wide visibility.
- If you didn’t set access during submission, or if you need to update access later, select the checkbox next to the taxpayer's name.
- SelectSet Access.
- Move users from the field on the left to grant access to the document.
- Move users from the field on the right to restrict access to the document.
Send a reminder
- You can send reminders for any return with aStatusofOut for Signature.
- Select the checkbox next to the taxpayer's name.
- SelectSend Reminder.
- Or select theMore(...) menu to the right of the return and selectSend Reminder.
Download documents
- Select the document and selectDownload Signed Documentsat the top of the report, or select the orangeDownloadbutton in the Action column.
- After the download is complete, theDownloadedcolumn changes fromTo Be DownloadedtoDownloaded.
Resend access link
- This option is available after a signer has completed signing the document.
- Select the greenResend Access Linkicon to open a list of all signers who have completed signing.
- Select an email address to send that signer a link for review and download.
Cancel the document
- Select the redCancelbutton to cancel the document for signature.
Edit client information
- You can update recipient information after delivery.
- Select the email address under recipients.
- Update the information as needed.
- If you edit an email address and then selectSave Changes, you are prompted to resend the document to the new email address.
- This action doesn’t invalidate the authentication link in the first email.
- Both links remain identical and valid.
- The link becomes invalid only if the document is canceled, deleted, or expired.
Archived documents
You can archive documents at any point in their delivery state by selecting the document and selecting
Archive
.The command prompts you to confirm that you want to archive the document.
In Archive, the interface is similar to the main report, but some options are removed.
The archive is intended for documents that have been fully completed. Options such as
Send Reminder
and View Access Codes
are not available for archived items.If you need to work with the document again, you can restore it by selecting the document and selecting
Restore
.Recycle Bin
- Delivered or archived documents that are deleted are moved to the Recycle Bin.
- Line-item data is retained for tracking purposes.
- Signed documents are no longer available for download, and taxpayers and users no longer have access to these documents while they remain in the Recycle Bin.
- You can restore a document by selectingRestore.
- The document returns to the section from which it was deleted.
- Signed documents become available for download again.
- Taxpayers and users regain access to the document.
- Documents in the Recycle Bin can be permanently deleted individually or in bulk.
- To delete documents, select the checkbox next to the line item and selectDelete.
- Documents deleted from the Recycle Bin can't be restored or recovered.
