Common questions about extensions

Settings

eSignature options:
  • E-Sign when all included extensions are permitted:
    E-signing is available only when all included forms belong to states that accept e-signatures.
  • Review Extension Only:
    Disables e-signing for all included forms and only lets the taxpayer review the extension.
    Note: This prevents users in the firm from adding any signature controls.
  • Allow user to place signature control:
    Requires
    Review Extension Only
    to be turned on. When marked, this lets users add signature controls to forms as needed.
Change the number of days a payment reminder is sent:
In
Extensions
, go to
Settings
Vouchers
and change the default reminder in the
Payment Vouchers
section.
Paper File Returns for option for Extensions:
Paper File Returns are not currently supported for Extensions.
Upload extensions:
All that's required to upload an extension successfully are the federal extension forms (Form 4868, 7004, or 8868).
Signer delegation:
A system administrator can turn on signer delegation by going to
Extensions
, then
Settings

Upload

Tax applications supported by Extensions:
CCH Axcess and ProSystem fx, UltraTax CS, Lacerte, and GoSystem Tax RS.
Return types supported by Extensions:
1040, 1041, 1120, 1120-S, 1065, and 990.
Forms to include in the extension package to upload:
A federal extension form must be a part of the extension package. If the federal form is not present, you will receive an upload error. Federal forms for return types include:
  • Individual Extensions (1040):
    Form 4868 is required.
  • Entity Extensions (1041, 1120, 1120-S, 1065):
    Form 7004 is required.
  • Nonprofit Extensions
    (990):
    Form 8868 is required.
Filing instructions or transmittal letters:
You can upload an extension package with or without filing instructions or transmittals. The only requirement is for the federal extension forms to be present.
Estimated vouchers:
You can upload an extension package with or without estimated vouchers.
Upload an extension package for multiple clients:
Only CCH Axcess and ProSystem fx users can upload multiple extension packages. UltraTax CS, Lacerte, and GoSystem Tax RS users can only upload 1 extension package at a time.
Restrict access to specific users:
During the upload process, specify user permissions with the
Set Access
control. This feature lets specific users have access to that extension package.
State-only extension packages:
You can't upload and process state-only extension packages. State-only extensions aren't currently supported.

Process and deliver

Signature requirement:
You can send an extension without signature requirements.
Payments or estimated vouchers:
You can send an extension with only extension forms that are not vouchers.
Extension delivery notification:
If an extension was previously delivered, users will see a pop-up when opening the extension for processing.
Email addresses:
If a user was added to Client Management, the Client ID populates the email address in Extensions, remembering previously used addresses for clients from the prior year.
E-file or Vouchers tab:
Extensions don’t display a separate e-file or Vouchers tab because extension forms and vouchers vary between taxing authorities. Some authorities combine a signature form with the payment voucher, while others use 2 separate forms. Consolidating all forms in the Filing Forms tab makes them easier to recognize.
Extension forms and vouchers:
Extensions automatically recognize extension forms and vouchers. If a discrepancy appears, users can edit the form while processing and reassign it as a signature-required form, a payment voucher, or both. If a form is consistently not recognized, submit a support ticket.
Signature stamps for an ERO:
System administrators can turn on signature stamps for an ERO by going to
Settings
General
.
Send additional signature documents:
Users can upload additional signature documents in the
Additional E-Sign Documents
tab.
Unavailable signature options:
Some signature options in the
Delivery Options
tab may appear grayed out because firm settings restrict users to a limited set of options. Users who need access to a different signature option should contact their system administrator.

Delivered extensions

Client view after extension delivery:
After an extension is delivered, the client view remains accessible through the Extensions Report. To access it, locate the delivered extension, select the
More Actions (...)
dropdown, then
Client View
. Note that screen sharing is not currently supported in Extensions.
Screen sharing:
Screen sharing is not currently supported in Extensions.
Turn off reminders:
If an extension with estimated vouchers is delivered before the return, an option to turn off extension reminders will appear during return delivery.
Change extension status:
The status of an extension can be changed to
Manually Signed
by selecting single or multiple extensions in the Extensions Report and selecting the
Change Status
button. Extensions can also be moved to the archive folder after delivery and signing.
Track client progress:
Go to the Extensions Report and find the delivered extension. Select the
More Actions (...)
dropdown, then
Client Tracking
.
Archive extensions:
Extensions can also be moved to the archive folder after delivery and signing.

Client experience

Signature requirements:
Signature requirements for extensions vary by taxing authority, and not all authorities require signatures.
Review only extension packages:
When an extension package is delivered for review only, the client can review documents and payments through the provided link but won't be prompted to sign any forms.
Extension link access:
The extension link remains active based on the retention policy set by the firm. System administrators can adjust this policy by going to
Extensions
Settings
Security
.
Payment vouchers:
If an extension is sent with payment vouchers, clients can select the
Pay
button to make a payment through the taxing authority's website.
Access via mobile device:
Extensions are not currently compatible with mobile devices, but can be accessed from a laptop, desktop, or tablet.
