Compose a New Secure Message from the Outlook Plug-In
Send secure Outlook plugin messages with optional files, authentication, retention settings, and templates; recipients need to be in the
To
field before final delivery.
Secure messages can be sent to any email address from Outlook using the Exchange plug-in. You can enter a message for the recipient and select the authentication method required (for firm settings).
Many of these message options have default settings you can change in your
As soon as the Finish button is selected, the item is uploaded to the Client Portal, whether the email has been delivered or not. To remove it, you can cancel the transfer from your
Sent Items History
report.
You need to have the Exchange Outlook® Plugin installed to send a secure message.
All recipients need to be entered in the
To
field; CC recipients won’t have access to the documents.
Compose a new message
Open a
New Email
in Outlook.
Select
Send
from the Exchange Plugin.
Select
Send Message
.
Select
Continue
.
Select to find your files or drag and drop files to upload (optional).
Select
Continue
.
Enter one or more recipient email addresses in the
TO
field.
If the recipient is in the Client Management, the user can begin entering in the client's name and it will auto-populate the information. This will only occur if the user is using the
To
field from the plug-in.
Each recipient will have their own access code or question when authenticating.
Enter a
Subject Line
for the message.
Exchange automatically adds the recipient and subject line to the Outlook® email.
Enter a
Message
.
Select the
Shield
icon to change the authentication method.
Select the
Retention Period
dropdown to change the expiration date for the mail.
Select
Finish
.

As soon as you select
Finish
, the item is uploaded to the Client Portal. To remove it, cancel the transfer from your
Sent Items History
report.
If
Question & Answer
is the selected Authentication Method, a new screen appears. Select or verify the questions and answers for the listed recipients.
Select
Next
to add a link to your email template.
Select to apply the
Standard Template
or create a
Custom Message
. The
Standard Template
option applies your default
Email Template
from your
Settings
.
Select
Confirm
.
Select
Send
in Outlook® to deliver the secure mail to your intended recipient.
This message can be edited manually in Outlook before delivery.
A message can also be added previous the email template.

Don’t edit the Download Files or Access Client Portal text/links.
