Message History Reports

Learn how Message History Reports track sent, received, and requested items, including activity details, status, filters, and column settings.
The
Message History
section provides reports for sent and received items. These reports include sender information, recipient email, file names, sent or received date, latest activity, link status, and transfer mode.
Message History reports can show the following information:
  • The sender name or email address.
  • The recipient email address.
  • The names of files included in the transfer.
  • The date the item was sent or received.
  • The most recent date and time are shown in the activity log.
  • The link status:
    • Expired
      means the link can no longer be accessed.
    • Active
      means the link is still available and the recipient can access the message and downloads.
  • The transfer mode used for authentication.

Documents and messages can't be viewed or downloaded directly from a history report.

Sent Items History

The
Sent Items History
report records all messages sent by members of the firm.
You can use this report to perform the following actions:
  • Refresh the report to display the latest information.
  • Manage columns by reordering or removing them. The sender column can't be hidden.
  • Download the full report as an Excel file.
  • Apply filters to refine the report.
  • Right-click a line item to resend the access link, if permitted by firm settings.
  • Right-click a line item to cancel the transfer and invalidate the access link.
  • Select an activity log timestamp to review event details, including user email, file name, activity date, and IP address.

Received Items History

The
Received Items History
report records all messages sent to your firm from external sources.
You can use this report to perform the following actions:
  • Refresh the report to display the latest information.
  • Manage columns by reordering or removing them. The recipient column can't be hidden.
  • Download the full report as an Excel file.
  • Apply filters to refine the report.
  • Select an activity log timestamp to review event details, including user email, file name, activity date, and IP address.

Document Requests

The
Document Requests History
report shows all Document Requests sent by users in the firm.
You can use this report to perform the following actions:
  • Refresh the report to display the latest information.
  • Manage columns by reordering or removing them. The recipient column can't be hidden.
  • Apply filters to refine the report.
  • Select a document name in the
    Documents Requested
    column to view the requested documents.
  • Select the
    Uploaded Files
    timestamp to review uploaded document details, including document name, file name, and uploaded date.
  • Select the
    Activity Log
    timestamp to review internal download history.

Column Options and Filters

In
Sent Items History
and
Received Items History
, you can customize the report by hiding columns, reordering columns, and applying filters.

Column options

  1. Open
    Manage Columns
    to control visible columns.
  2. Switch columns on or off.
  3. Drag and drop columns to reorder them.
  4. Apply changes to save the updated layout.

Filters

You can create, save, apply, and delete filters to customize the report view.
  1. Open the
    Filter
    option.
  2. Select a saved filter from the list.
  3. Apply filters directly from the column menu.
  4. Delete a saved filter if it is no longer needed.
  5. Save the current filter settings for later use.
  6. Apply the selected filter settings to the report.
