Secure File Transfer Outlook Plug-In

Document and message functions that are the same in the plug-in as they are in the online version of Outlook.
Many of the functions that can be performed online can also be performed in the Outlook plugin.

You need to turn on the
Reading Pane
in Outlook and select a message to use the plugin.

Log-in

  1. Select
    More
    in the
    Home
    ribbon of Outlook®. 
  2. Select
    My Portal Inbox
    .
  3. Select
    Sign-In
    .
  4. Enter your SafeSend credentials.
  5. Select
    Sign In
    .

Menu

The Inbox opens by default. Select from the following options.
  • Inbox
    to view items in your inbox.
  • Sent
    to view items in your sent inbox.
  • Spam
    to view items in your spam inbox.
  • Request Documents
    to view your requested documents.
  • My Files
    to view your saved documents.
  • Unlock
    to unlock access links for clients.
    • This can occur if the client fails authentication.
  • Admin Settings
    to open your firm settings (only available for System Administrators).
  • Message History
    to view the Sent/Received history reports. 
  • Help
    to be directed to the main page of the Exchange help center. 

Mailbox Management

Use the following steps for managing each secure message.
  1. Select a Mailbox (Inbox, Sent, or Spam).
  2. Select the
    Arrow
    to expand the message and view forwards/replies.
  3. Select a message to view the email and any attachments that are included.
  4. Select the
    Delete
    icon to delete the selected messages.
    • Deleted messages and documents can't be retrieved.
  5. Select the
    Download
    icon to download all attached documents into a ZIP file.
  6. Select
    More
    to
    Quick Reply
    ,
    Reply
    ,
    Reply All
    ,
    Forward
    , or
    Print
    the message.
    • Quick replies don’t require authentication on the recipient side.
    • Quick replies can't include attachments.
  7. Select the document attachment to download each document.

Delete or archive a message

Use the following steps to delete or archive a message from any of the message sections (Inbox, Sent, Spam). 
  1. Select the items by selecting on the checkbox to the left of the message.
  2. Select the 
    Delete
    icon to delete the message.
    • Deleted messages and documents can't be retrieved. 
  3. Select the
    Folder
    icon to move the message to a folder. 

View Another Person's Mailbox

The person needs to have provided access for this option to be available.
  1. Select the 
    Delegate
    icon in the top corner.
    note
    You refer to a list of all users who have given you access to view their mailboxes.
  2. Select the person whose mailbox you want to view.
  3. Select
    Exit
    in the green banner to go back to your mailbox.

Document Requests

Use the following steps to manage existing document requests.
  1. Select
    Request Documents
    .
  2. Select a
    Document Request
    to open it.
  3. Select the 
    Print
    icon to print a copy of the Document Request. 
  4. Select the 
    Delete
    icon to delete the document request.
    • Deleted messages and documents can't be retrieved. 
  5. Select the clock icon to change the
    Retention Period
    for the document. 
  6. Select the bell to send a
    Reminder
    to the taxpayer. 
  7. Select the 
    Download 
    icon to download all attached documents into a ZIP file.  
  8. Select
    Preview
    to view the document.
    • Available for PDF documents only.
  9. Select the
    Download
    icon to download that document only.
  10. Select the
    Delete
    icon to delete that document only. 
  11. Select
    Request More
    to request more documents from the taxpayer.
This option is not available for requests with a
Completed
status.
