Learn how to set message retention periods and authentication methods for secure messages and document request items.
From the
New Message
screen, you can set the retention period and authentication method for a message. These settings also apply to Document Request List items.
note
Retention periods for delivered and received items can only be decreased, not increased.
Firm settings may limit your ability to change the authentication method or edit saved questions and answers.
Question and Answer authentication
Question and Answer authentication requires the recipient to answer a security question before accessing attached documents. Depending on firm settings, you can add a new question, save a question, set a default question, or select a saved question.
Select the
Gear
icon to open message settings.
Select a retention period to define when the message expires and is deleted.
Select
Question & Answer
as the authentication method.
Add a new question if needed. New questions are added to the firm's saved question list.
Select
Set Questions & Answers
.
Enter the recipient email address.
Select a saved question.
Enter the answer for the recipient.
The recipient needs to enter this answer to access the documents.
The question and answer combination is saved to your profile for future use with that recipient.
Optionally add another recipient and repeat the setup.
Select
Send
to send the message.
Access Code authentication
Access Code authentication requires the recipient to enter an access code before accessing attached documents. The access code is sent to the same email address that receives the message.
Select the
Gear
icon to open message settings.
Select a retention period to define when the message expires and is deleted.
Select
Access Code
as the authentication method.
This authentication method applies to all recipients in the
