Client Portal management

The Client Portal section is used to manage and view information related to your taxpayers' Client Portal access status.
note
Access to the Client Portal section is available to all user types. You can only view records assigned to Office Locations you have permissions to view.
- Open theNavigation Widget.
- SelectSAFESEND ONE.
- SelectClient Portal.
Dashboard
Navigation
- SelectPortal Managementin the panel to view your client records.
- Search Bar- Search for clients by client ID, Name, SSN/EIN, or email address.
- Customize Columns- Select/unselect the checkbox next to each column name to add/remove it from the report.
- Export to Excel- Export the client information to Excel.
- Access- Switch client access to the portal on or off.
- Status- View the client's current registration status.
- Pending - The onboarding email hasn’t yet been sent to the client.
- Invited - The onboarding email has been sent, but the client hasn’t registered.
- Registered - Client has successfully registered for the portal.
- Spouse Indicator- A purple icon next to the client ID indicates the record is for a taxpayer and spouse.
Bulk Editing
One or more records can be edited at the same time using the
Bulk Action Menu
. - Select the checkbox for the taxpayer's client ID to select one or more records OR
- Select the checkbox for the client ID column to select all displayed records.
- Select all records by using theClick Hereoption.
- Select theBulk Action Menuto view the options available.
- SelectDeleteto delete all selected records.
- SelectSend Onboarding Emailto deliver a Client Portal Invitation email to all selected clients.
- SelectEnable Portal Accessto turn on the Client Portal for all selected clients.
- SelectDisable Portal Accessto turn off the Client Portal for all selected clients.
Action Menu
Records can also be edited individually.
- SelectEditto edit client details.
- SelectDeleteto delete the client record.
- Select theAction(...) menu to use additional options.
- SelectClient Viewto access a current view of the client's portal.
- SelectEnable SMS OTPto turn on or turn off access code delivery to the client's device.
- SelectSend Onboarding Emailto deliver a Client Portal Invitation email to the client.
- SelectUpdate Drop-Off Accessto turn on or turn off drop-off link uploads from the Client Portal.
Add Client
You can bulk import clients, or add them manually.
Add Client Manually
- SelectAdd Client.
- EnterClient Information.
- ApplyOffice Location.
- SelectMarried Filing Jointlyto add spouse information (if applicable).
- SelectSpouse to Sign First by Defaultif you would like for the spouse to be sent returns first.
- EnterSpouse Information, if necessary.
- SelectAdd Client.
Edit Client
You can bulk edit clients, or edit them manually.
note
Editing a record in Client Portal Management doesn’t affect the data associated with any delivered item. Only the Client Portal Management record is updated. If the email address is updated, any items delivered to the old address are no longer available through the Client Portal.
Edit Client Manually
- SelectEdit.
- Edit any necessaryClient Information.
- SelectUpdate.
Client Instructions
note
- Only System administrators have access to theSettingssection.
- Whichever message is marked as the Default is sent to all clients. These templates can't be selected on a per-client basis.
You can customize the Onboarding Email clients receive when they are invited to register for the Client Portal. Default messaging is provided. You can use the default provided or add your own at any time.
