Video: Delivered returns report guide

  1. Once a return is delivered to a client, it moves to the
    Delivered Returns
    section. Manage these options in the
    Archive Returns
    area.
  2. The
    Status
    column reflects where the return is in the signing process.
  3. Use these icons to refresh the report, generate quick reports, customize your column display, adjust your filters, and export this report to
    Excel
    .
  4. One or more returns can be edited at the same time using the
    Bulk Action
    buttons. Select the checkbox to the left of the return to select it, then select the
    Bulk Action
    button.
  5. Use the column headers to search or filter the report. Select the column header to sort the report in ascending or descending order.
  6. Sort by Standard or Grouped returns in the
    Group Name
    column.
  7. Select the
    More (...)
    button in the action column to refer to additional actions available for that return.
  8. The return
    Status
    column reflects whether the delivery was successful or where the return is in the signing process.
  9. AWAITING E-SIGN
    and
    AWAITING UPLOAD
    mean you are waiting for the client to sign the return.
    PARTIALLY SIGNED
    is for married filing joint returns and means only one of the 2 signers has signed.
  10. Select the
    PARTIALLY SIGNED
    status to refer to which client has signed and when. Any report item that is blue can be selected to reveal more information.
  11. The following statuses indicate the return has been signed.
    1. E-SIGNED
      means the client eSigned the return.
    2. UPLOADED
      means the client signed manually.
  12. SIGNED AND E-SIGNED
    means the 1st signer e-signed but the 2nd signer signed outside of SafeSend and the user changed the status.
    MANUALLY SIGNED
    means the return was signed outside of SafeSend and the user changed the status.
  13. The
    E-SIGNED - IN OFFICE
    status indicates the return is complete and was e-signed in your office.
  14. Next we’ll demonstrate how to use the
    Bulk Action
    buttons.
    Change Status
    lets you change the status of returns.
  15. The return status needs to be
    AWAITING UPLOAD
    ,
    AWAITING E-SIGN
    , or
    PARTIALLY SIGNED
    to use this feature.
  16. Mark the checkbox for a return, then select the
    Change Status
    button.
  17. In the dropdown, select
    Manually Signed
    .
  18. Select
    Save
    , then select
    Yes
    .
  19. The return status is then updated to
    Manually Signed
    .
  20. Set Access
    lets you select who can and can't refer to the returns. System administrators will still refer to all returns regardless of the
    Set Access
    setting.
  21. Send Reminder lets you send a reminder to sign immediately, or adjust automated reminder settings.
  22. Moving signed and downloaded returns to the
    Archive
    keeps your delivered returns dashboard clean, leaving only the returns the firm is still waiting on.
  23. Download e-file Forms
    lets you download signed documents in bulk to a ZIP file. Only returns in an
    UPLOADED
    ,
    E-SIGNED
    ,
    SIGNED & E-SIGNED
    , or
    ALTERNATE & UPLOADED
    status can be downloaded in bulk.
  24. Delete
    lets you move returns from the
    Delivered Returns
    section to the
    Recycle Bin
    section.
  25. Deleted returns can be restored or permanently deleted. Permanent deletion is not recommended.
  26. Change Office Location
    lets you change the assigned
    Office Location
    for the return. You can only view returns assigned to Office Locations you have permission to use.
  27. Selecting the
    Refresh
    icon ensures your report is up to date and any recent changes are reflected.
  28. There are 2
    Quick Report
    options. You can generate a report showing what return links haven’t been accessed by the client, and which clients have failed knowledge-based authentication.
  29. Column Options
    let each person customize the columns they would like displayed in their Delivered Returns Report.
  30. The
    Filter
    option lets the logged in person to apply recent filters, save their own custom filters and set a default filter. You can also use the
    Clear Filter
    option to remove all filters and display all returns you have permission to view.
  31. The
    Export to Excel
    option lets you export the filtered report to Excel. This report also displays client email addresses.
  32. The green
    Edit Client Info
    button lets people update client information.
  33. Select the card to open the edit window and
    Save
    any changes.
  34. Select the ellipsis to expand the
    Action
    menu for that return.
  35. You can
    Download the e-file Forms
    individually rather than in bulk.
  36. Clients can become locked out of their tax return by entering an incorrect or expired access code or an incorrect Social Security number. Select
    Unlock Return
    to let the client attempt to authenticate again.
  37. The
    Resend Access Link
    option is only available for returns in an
    E-Signed
    ,
    Uploaded
    , or
    Manually Signed
    status. The
    Send Reminder
    option can be used for unsigned returns.
  38. Select the arrow to resend the access link to the client, or select the paper icon to copy their access link to your clipboard.
  39. Client View
    opens a new browser tab and gives you a static view of the client's actions. Verify the progress the client made and if they've marked vouchers as
    PAID
    .
  40. Recall a Return
    if any changes need to be made after delivery. This moves the return to your Send Tax Returns dashboard where it can be reprocessed, or deleted if a new return needs to be uploaded.
  41. Send Reminder
    lets you edit the automated reminder settings for that return or send a reminder to sign immediately.
  42. Upload Estimates
    lets you upload updated estimated vouchers to the return.
  43. You can generate an
    Access Code
    for the taxpayer and provide it via email or phone. This option should be selected after the client selects the
    Send Code
    button. Any codes generated before this step will be rendered invalid.
  44. Select
    Generate Access Code
    .
  45. View and provide the new code. This code is valid for 20 minutes, until it is used, or until a new code is generated.
  46. The
    Retention Policy
    is set by the firm, but, if your settings let, it can be adjusted here.
  47. Report a Problem
    lets you send a report from a specific return to our Support team. This provides them with additional return details that may be useful for troubleshooting.
  48. User Tracking
    lets you view certain firm and client events. Tracked events include things like return delivery, signing, and downloading.
  49. Download Returns
    provides people a place to download specific items from the return.
  50. The
    Screen Share
    option lets you work with clients remotely by viewing their screen in real time.
  51. You can
    Archive
    returns individually from the
    Action
    menu.
  52. Lastly, you can delete a delivered return to move it to your
    Recycle Bin
    .
  53. A return becomes locked when a person opens a return for processing or closes without saving. If another person tries to access the locked return, they’ll get a
    Return In-Use
    error. It can be unlocked from the
    Locked Returns
    dashboard.
  54. The
    K-1 Delivered Status
    report provides a breakdown of the percentages of K-1 delivered and downloaded. You can view and export K-1 status data as well. People can also deliver K-1 on behalf of clients if their firm settings let.
  55. The blue eye icon lets opens
    Client View
    to distribute K1s if needed. The green person icon displays K-1 Partner Update statuses.
  56. The
    Reminder Management
    dashboard lets you run a report showing delivered and scheduled voucher reminder emails.
  57. Enter a date range and select
    Filter
    to generate a report.
  58. You can also export the generated report to
    Excel
    .
