Processing: Delivery

Adjust default settings and review a return before delivering it to the taxpayer.
The
Delivery
section is the final step in processing a return. It contains several tabs where you can customize delivery settings, notification preferences, and signature options. Review the following sections for details.

Taxpayer dashboard

  • Select
    Taxpayer Preview
    to open a new tab and review the return from the taxpayer's perspective.
  • The
    Group Name
    field displays the group the return is listed under, if any. You can add a group name here.
  • Use the
    Contact Person
    dropdown to select the user who appears as the contact person for the taxpayer.
  • Use the
    Message Template
    field to add a message that appears to the taxpayer after they authenticate. SafeSend Returns applies the default message from the Saved Message settings.
    • Select
      New
      to open an editor and create a new message. You can add hyperlinks and adjust the font size and color.
    • Select
      View
      to open an editor and edit an existing message. You can add hyperlinks and adjust the font size and color.

Tax return watermarks

Select a stored
Watermark
to apply to the return.

Custom column values

Select the
Column Value
to control how the return appears in the custom column on the Delivered Returns Report.

Email notifications

Use this section to set delivery and notification preferences.
  • Use the
    Deliver First to
    radio buttons to choose whether SafeSend Returns delivers the return to the taxpayer or spouse first. This option only appears for 1040 Married Filing Jointly (MFJ) returns.
  • Use the
    Sender Name
    dropdown to select the name that appears on email notifications sent to the client. These notifications include the initial email, voucher and signing reminders, and download e-signed forms.
  • Use the
    Notify About Signing Events
    dropdown to select which user receives signing event notifications. These notifications are sent when:
    • All signers have signed the return.
    • A signer opts out of signing.
    • E-file authorization forms are received.
  • Use the
    Notify About Payment Events
    dropdown to select which user receives notifications of voucher payment activity.

SMS text notifications

You can turn on SMS Text Notifications so that clients receive signing reminders by text. This option must first be enabled in Suite Settings before it becomes available.
  • Use the switch to turn SMS notifications on or off for the taxpayer or spouse.

Reminders

You can change the automated
Signing and Voucher
reminder settings.
Use the switches to turn the corresponding reminders on or off.
  • Use the
    Send voucher
    reminder before dropdown to set how far in advance of a voucher due date SafeSend Returns sends a reminder.
  • Use the
    Send signing
    reminder every dropdown to set the interval at which SafeSend Returns sends follow-up signing reminders.

Modify retention period

You can modify how long returns are stored (if your firm settings allow).
  • Select a date range from the retention period dropdowns.
  • Mark the
    Attest Client
    checkbox.

Signature options

This section controls the signing options presented to the taxpayer during the signing step.
  • E-Sign
    : The taxpayer answers knowledge-based authentication (KBA) questions (1040 returns only) and enters their signature digitally.
  • Manual Sign and Return
    : The taxpayer downloads, prints, and manually signs the return before uploading it back into the system. When you select this option, e-signing is not available.
The following checkboxes are also available in this section:
  • Review Extension
    : Mark this checkbox to deliver extensions that don’t require a signature.
  • Disable KBA for E-Sign of this Document
    : Mark this checkbox to let taxpayers sign without completing knowledge-based authentication. This is not recommended, since the IRS requires KBA. This option is only available if the corresponding setting is enabled in the E-Sign Options section of Return Settings.
  • Allow signer delegation
    : Mark this checkbox to let the client delegate signing on this return. This option is only available if Signer Delegation is enabled in the E-Sign Options section of Return Settings.
  • Enable Knowledge-Based Authentication for delegated signers
    : Mark this checkbox to require delegates to complete the KBA before signing. This option is only available if Signer Delegation is enabled in the E-Sign Options section of Return Settings.

Mailing address

This section displays the address and fax number your clients see during the manual signing process. These addresses are managed in the Office Location settings.
  • Select the address from the dropdown.
  • Edit the address or fax number as needed.

Finish return processing

  • Select
    Finish
    to open the
    Finish Return Processing
    window.
  • Select
    Internal
    to send the return to another internal user.
    • Send for Review
      : Select a user to review the return. SafeSend Returns assigns the return to them with a status of
      Review
      .
    • Approve for Delivery
      : Updates the status of the return from
      Processing
      or
      In Review
      to
      Approved for Delivery
      .
  • Select
    Client Delivery
    to send the return to the taxpayer.
    • Deliver to Client
      : Moves the return from the In-Process section to Delivered Returns and sends it to the taxpayer.
    • Download PDF
      : Generates a PDF copy of the return and moves it to the Delivered Returns section. This option is only available if the download finalized PDF setting is enabled in your firm's Return Settings.
