FileRoom: Processing percentage for verify and outsource binders

FileRoom now shows
SP Processing
progress percentage for 1040SCANverify and Outsource binders. To view a binder's progress, select the
Refresh
icon to get the latest update.

When processing reaches 100%, the percentage is replaced by an information icon explaining that the binder has moved into SurePrep verification or preparation.

FileRoom: Resolving a stuck binder

For firms using UltraTax CS or Lacerte, the
REQUIRED ACTION
column reflected stuck binders and described how to resolve it, but the control itself wasn't clickable.
Now,
Resubmit Binder
,
Retry Process
, and
Fix In Progress
are actionable buttons that appear next to their resolution steps, allowing you to clear the binder from the screen that flagged it. If resubmission resolves the problem, the error clears from FileRoom; if it doesn't, the error reappears.

FileRoom: Binder access in the audit log

The Binder Audit Log now records each time a binder is accessed, including SurePrep support users, with a status confirming the binder launched successfully.
To view the log, select the
Options
menu on any binder row, and select
Binder Audit Log
.

Access entries appear in the Last 7, 30, and, 60 days filters, and are included in
Export to Excel
for compliance reporting.

Account Admin: Delete Binder permission

Previously,
Delete Binder
was bundled into the SPbinder section of a user group's permissions, so any group granted SPbinder access could also delete binders.
Now, Delete Binder exists as a standalone permission. Firm administrators can give staff access to binders without also giving them the ability to delete one, which is a meaningful difference for seasonal and junior users.

To set it, go to
Admin
>
User Group Management
, select a group, and select the
Delete Binder
checkbox.

Existing user groups keep their
Delete Binder
permissions, so nothing changes for your current groups. New user groups are created without this permission.

Review Module: Notes checklist

Reviewers can now see every note on a binder in one place, grouped by category, without opening the binder. The

, and
Custom
notes into the browser Review Module, each with a live count, so you can tell at a glance how much is still outstanding and where.
To review notes, select the
OPTIONS
menu,
Review Module
, then select the
Notes
item in the Review Module checklist.

Each category expands and collapses on its own, and categories with no notes are hidden. A category where everything is cleared shows a checkmark; one with outstanding notes shows a warning and the number remaining.

Presently, notes in the Review Module are read-only. Notes sync one way from the binder, so clearing a note is still done in SPbinder.

SPbinder: Redesigned verification feedback

When giving verification feedback for 1040SCANverify and Outsource binders, you can now tell at a glance how a page was verified. A page now shows whether it was checked by a SurePrep verifier or fully auto-verified.
From the same place, you can flag data that looks wrong. Select a qualifying OCR reference to open the
Give Verification Feedback
window, choose a category, add an optional description, and submit.

SPbinder: Sample values on export validation errors

Export validation errors now tell you what a correct value looks like. A

column sits immediately after
Error Details
in the Export Validation window, showing the format the field expects, meaning you can correct the value on the first attempt instead of guessing.

Export to Tax
from FileRoom or from SPbinder.

SPbinder: Moving multiple pages

Preparers can see how many pages they are moving before they drop them. Dragging a selection to the
INDEX TREE
now shows a bubble with the total page count, summed across everything selected.

Page numbers themselves display in full too. Four- and five-digit page numbers no longer truncate in the thumbnail view or the document navigation bar — numbers too long for their label wrap onto a second line instead of losing digits, and you can type a five-digit page number into the navigation bar.

1040SCAN: Incorrect SSN verification rule

Certain documents issued to an individual sometimes carry an EIN where the recipient's SSN belongs. A new verification rule allows you to exclude documents that have an EIN instead of an SSN.

The rule is saved according to tax year, service type, return type, tax software, document type, form name, and field — can be specified to an office location, and can be edited, deleted, and exported to Excel like any other rule. Matching documents are flagged and bookmarked under an
Incorrect SSN
section in SPbinder.

The rule applies to the specific form and field you define it on, not across every page of the binder.

1040SCAN: Flag junk data and limit field length to 200 characters

A single unreadable value no longer takes down a binder. When OCR returns a value longer than the field allows, description fields are truncated to 200 characters and other fields are cleared, rather than failing the binder or passing an invalid value downstream.
The affected field is marked non-auto-verified and uncertain, so it has to be reviewed and corrected before the binder proceeds. This applies consistently through processing and verification.

1040SCAN Review Wizard: Run-time OCR value capture

Reviewers can now capture a value directly from the source document. Select the green
+
(Add Reference) icon beside a field, then select around the figure on the document, and only what you selected is captured and linked to the field rather than the wider region OCR originally recognized.

Once linked, the
+
icon becomes a link icon; place your mouse over the icon to reveal a control that removes the reference so you can try again. Values longer than the field allows are truncated to the maximum length with a message asking you to review and confirm.

Run-time OCR does not apply to non-editable dropdown and checkbox fields, which continue to use the existing
Add Reference
behavior.

1040SCAN Review Wizard: Accessibility keyboard shortcuts

An alternative keyboard shortcut set is now available, designed to work alongside screen readers and assistive technology. Turn on
Use accessibility hotkeys
in the Verification Wizard settings panel and the new set applies immediately, across every wizard, with no reload.

The keyboard shortcuts guide shows whichever set is currently active, along with how to switch between them. The bindings differ between the two sets — moving to the next unresolved field, for example, is
Ctrl + Enter
with the standard shortcuts and
Alt+Enter
with the accessibility shortcuts.
Your choice is saved to your profile and applies at every future login and on every binder.

1040SCAN Review Wizard: Review and verification enhancements

You can now turn
Auto-navigate unresolved fields
off in the Verification Wizard settings and stay where you are, using
Alt + Enter
to proceed when you're ready. The setting defaults to on and is saved per user.

1040SCAN Review Wizard: Set-based page selection in the Superseded Wizard

Working with multi-page K-1s in the Superseded Wizard is now much quicker. Pages from Additive-processed documents are grouped into sets under their parent form, and the first click on any page in a set selects the whole set, which you can then configure page by page. The set checkbox reflects a full, partial, or empty selection.

If any single page of a set qualifies for the wizard, the whole set is brought in, so you review the complete form in context instead of isolated pages. Sets with no qualifying pages are excluded. Forms open expanded and their sets collapsed the first time, and your expand and collapse choices are remembered for that document across refreshes and sessions.

1040SCAN Review Wizard: New Form Review confirmation prompts

Previously, marking a Cash Contributions form as
Superseded
,
Prior Year
, or
Thumbnail
applied at page level with no warning, so other forms that happened to share those pages were silently marked too.
Now a confirmation prompt lists every form the action will affect, with its document or payer name and page numbers, before anything changes. No prompt appears where a page belongs to a single form.

These prompts are presently available for Cash Contribution source documents. Other document types, such as consolidated 1099-DIVs, are planned for the future.

1040SCAN Review Wizard: Wizard warnings and form details

Duplicate Data wizard warning
- When selected, the
NEXT STEP
option at the final Duplicate Data step now warns you when unmatched organizer pages and source documents remain on both sides, showing the counts by category. Conversely,
REVIEW UNMATCHED
scrolls to the first unresolved item and highlights it, so duplicate amounts are caught before the irreversible step rather than after they reach the tax software.

Superseded category validation
- Submitting the Superseded Wizard with a category that has nothing marked as superseded now raises a prompt listing the affected documents and page numbers, with the option to go back and review or continue anyway. The prompt reappears on each submit attempt until every category has at least one superseded document.

now shows the node's full set of captured field values instead of just its name. Select to pin the tooltip, and press the
Esc
key or select outside to dismiss it.

1040SCAN Review Wizard: TIFF and image file support

TIFF and image files are now supported. Binders containing them open normally, and mixed TIFF and PDF binders are fully accessible. The image viewer matches the PDF viewer for zoom, rotate, highlights, stamps, and pagination, so working an image page is no different from working a PDF page. Existing PDF handling is unchanged.

API: 1041 binders for Outsource

We're excited to announce that the API can now create 1041 binders with the Outsource service.

API: Cross submission types and blocked binders

Binders submitted through the API now follow the same submission rules as FileRoom. A binder whose history mixes SurePrep-processed and in-house submissions is accepted when its status is
Blank
or a firm custom status, and errors 1130 and 1131 are applied consistently when a previous submission is still pending verification.
Submitting to a binder that can't accept documents now fails with a specific error rather than proceeding. Deleted binders return 1147, and binders that have been sent back return 1333.

This applies to 1040 binders on CCH Axcess Tax, GoSystem Tax RS, and UltraTax CS, for Tax Year 2025 and later.

API: Download PBFX accepts a child binder ID

The
DownloadPBFX
endpoint
now accepts either a parent or a child binder ID and resolves a child ID to its parent automatically, meaning that your integration no longer needs to determine the parent binder before requesting the file. Invalid binder IDs return the existing errors, and there is no change for calls that already pass a parent ID.

The 1040SCAN Review Wizard desktop application has been a trusted verification software used by thousands of tax professionals over the years. SurePrep has brought the same technology into a web browser, which comes with a lot of benefits and capabilities along with a modern infrastructure. The
1040SCAN Review Wizard desktop application will be retired on August 31, 2026.
Beginning September 1, 2026, all Review Wizard work must be completed exclusively in Review Wizard on Web, which includes every feature offered in the desktop application without the need to install additional software!
