Use source data entry to export to UltraTax CS 

You can enter data from the client's source documents, such as W-2, by using form facsimiles in Source Data Entry. You can then export this data to UltraTax CS, where it's retrieved into the client's return.
  1. In the
    Source Data Entry
    window, select the tab for the source document category then the form icon.
    note
    Alternatively, select
    View
    , then either
    Source Document Processing (OCR) Supported Forms
    or
    Forms and Statements—Data Entry Only
    for a list of forms.
  2. Enter information on the form facsimile as it appears on the original.

    Refer to the troubleshooting notes at the end of this topic for help with data entry.
  3. If after entering a TIN you get a notice that no matching TIN is found in UltraTax CS, choose 1 of the following:
    • Continue Data Entry
      .
    • Discard
      .
  4. If after entering a TIN you get a notice about duplicate source documents, choose 1 of the following:
    • Open a previously entered form
      .
    • Continue with a new form
      .
    note
    You can turn off the notices for no matching TINs and duplicate source documents by going to
    Setup
    , then
    User Preferences
    .
  5. When you've finished entering data, choose 1 of the following:
    • Export to UltraTax CS
      .
    • Discard
      .
    • Postpone
      to save the data in Source Data Entry but not make it available to UltraTax CS yet.
  6. Repeat the previous steps for all source document information you want to enter into Source Data Entry.
  7. Open the client in UltraTax CS.

    The
    Data Sharing—Pending Updates
    window opens.
  8. Select
    Review
    .
  9. Choose whether to accept, retain existing, or postpone the import.
  10. If you accepted the import, review any imported statement amounts or enter alternative amounts, then select
    Done
    .
The data entered in UltraTax CS Source Data Entry and exported to UltraTax CS is included in the client's tax return, shown in blue.
tip
The following general tips can help your data entry in Source Data Entry:
  • The Session history pane keeps a log of exported, postponed, or discarded data during each session. You can print or save it.
  • The last 10 forms exported are listed in the
    File
    menu.
  • Select
    File
    ,
    Open Form
    , then use
    Forms by client
    or
    All forms
    to open previous source document data, which you can view and edit. Filter the list using the
    Focus
    box.
  • Custom dropdowns are available for payer names and addresses on many UltraTax CS Source Data Entry forms. Select 
    Edit
    from the dropdown to add, edit, or delete custom dropdowns.
  • Changes made to the custom dropdowns in
    Source Data Entry
    will update the corresponding dropdowns in UltraTax CS.
  • To turn off custom dropdowns in Source Data Entry, go to
    Setup
    ,
    System Configuration
    , then the
    Other Options
    tab.

The following troubleshooting points can help you enter data in specific fields in Source Data Entry.
  • Dollar amounts are rounded to whole dollars for most fields, while some (such as the
    Local income tax
    on Form W-2) keep decimal amounts for cents.
  • Fields that aren't needed for returns, e-filing, or Data Mining are turned off.
  • Fields that don't have an equivalent in UltraTax are turned off.
  • Acquired and sold dates entered on Forms 1099-B and 1099-B Brokerage should use the
    MM/DD/YY
    format.
  • If you want UltraTax CS to print the word "VARIOUS" for the date on the return, enter
    V
    .
  • If the client has disposed of property acquired by inheritance, enter
    I
    in
    Date Acquired
    . UltraTax CS defaults to long-term treatment and prints "INHERIT" on Schedule D.
  • On the Form W-2, Source Data Entry calculates the Social Security and Medicare wages and withholding using the Federal wages entered in box 1. Verify that these fields match the source document.
  • You can turn off automatic calculation of FICA and Medicare wages (Form W-2) by going to
    Setup
    , then
    User Preferences
    .
  • For Data Sharing to work, the SSN needs to match in Source Data Entry and UltraTax CS.
  • Data entered with a dependent's SSN can't be transferred to the taxpayer's return in UltraTax CS where the dependent is claimed.
