Assemble eSignature documents with Data Mining

Before you begin, you'll need to turn on eSignatures in UltraTax CS. To check if eSignature is turned on, go to
Setup
,
Office Configuration
, the
eSignature tab
, and verify that the
Enable electronic signatures (eSignature) ($)
checkbox is marked.
note
After marking this checkbox, UltraTax will ask you to accept the Thomson Reuters electronic signature terms and conditions.

Only the
Engagement Letter,
Engagement Letter — Next Year, Bank Account Verification Letter
, and the
Bank Account Verification Letter — Next Year
are available to assemble for eSignature within Data Mining.
  1. Select
    Utilities
    , then
    Data Mining
    .
  2. Select the entity (such as 1040 Individual) from the
    Client database
    dropdown list.
  3. Select and perform a search.
    note
    Because
    Engagement Letters
    (and for 1040 clients, the
    Engagement Letter - Next Year
    ,
    Bank Account Verification Letter
    , and
    Bank Account Verification Letter - Next Year
    ) are the only items available for eSignature within Data Mining, you'll need to select 1 of these letters in the
    Print Selection and Client Search
    window.
  4. In the
    Print (Step 3)
    , mark the
    Web / eSignature: Thomson Reuters data center
    checkbox under Electronic Delivery.
  5. If there are clients to whom you don't want to send eSignature documents, clear the checkbox next to their names on the
    Clients
    tab.

    • You'll need a valid email address for your client. Go to
      Setup
      ,
      Client Communications
      and enter your client's email address.
    • 1040 returns:
      If the return has a filing status of married filing joint, a unique email address is required for both the taxpayer and the spouse. To enter an email address for the spouse, select
      Sp
      from the
      Email Address
      dropdown list.
    • A hard copy of the letter will be printed for those clients who meet the search criteria but don't have an email address entered.
  6. Select the
    Assemble / Print
    button.
  7. Select
    Exit
    .
After the eSignature documents assemble, you'll need to send them to your clients to be electronically signed.
