Use Data Mining

You can use Data Mining to query your firm's UltraTax CS databases for specific data and client characteristics. Using Data Mining can bring you the following benefits.
  • Identify your client's tax accounting needs.
  • Pinpoint tax savings opportunities for clients.
  • Prepare estimate reminder letters.
  • Target communications with your clients.

The Data Mining process

To begin, go to
Utilities
, then
Data Mining
in UltraTax CS. You'll find a wizard to guide you through the search process.
Decide what to produce from your search
You might want to produce from your search: reports and/or letters, mailing labels, or export reports.
Select the criteria by which to search a database
Your criteria might be values calculated by UltraTax CS, entries in specific input screens, statement fields, and forms produced within the tax return.

You can use these questions to plan your search.
  • What type of clients are you searching for? Use the information to define and select the search criteria.
  • Am you searching for clients whose data includes a specific range of calculated amounts, numbers, or dates? If yes, you can define the calculated search criterion.
  • Are you searching for clients whose data includes specific input screen field entries in UltraTax CS? If yes, you can define the input screen search criterion.
  • Are you searching for at least 2 types of clients who have some kind of data in common? If yes, you can select the criteria and edit relationships in the search formula.
tip
Keep searches simple. Use as few criteria as you can to target the clients. Fewer clients will pass the search with each criterion you add. Very complex searches may give results that are difficult to analyze.
Select a database to search
Select from the UltraTax CS federal applications you're licensed in the
Client Database
dropdown list. Check you've selected the correct database before you proceed.
note
Only 1 person can search an entity in the same database at the same time. If you've a network license and someone is using the database, Data Mining will choose the next available database. You can select the database to show the other person's network ID.
Choose what to produce
You can produce reports and/or letters, mailing labels, or exported reports.
Reports and letters include predefined reports and letters provided with Data Mining and your firm's custom versions. You can modify these or add new ones. Data Mining can store up to 99 letters and an unlimited number of reports.
Select a search or choose to create or modify a search.
Create simple or use a formula to create complex searches. Add, change, or delete criteria to create a formula.
Use our predefined criteria to create a search formula.
  • Forms criteria.
  • Calculated values criteria.
  • Input screen field criteria.
  • State Attachment.
  • Return type criteria.
  • Client status criteria.
Review search results
After Data Mining performs the search, it shows the
Print
window. From here you can review the results in the
Search Results
window.
When you're satisfied with the results, you do any of the following:
  • Print selected reports and/or letters for all clients who passed the search.
  • Send the letters and reports to FileCabinet CS.
  • Create Web/eSignatures (for certain letters).
  • Send the selected letters by email to all clients who passed the search.
  • Generate and print mailing labels.
  • Enter email addresses for client letters.
  • Edit the email greeting.
  • Export client data to a file for use in another application, such as a word processing, spreadsheet, or database application.

If no clients passed the search, the
Search Results
window opens. From here, you can review the search results by criteria or client. Select
Done
to return to the
Print Selection and Client Search
window, from where you can select a different search or modify the last search.
