Export reports to file in Data Mining

You can use Data Mining to export report information to files for all clients who passed the current or most recent search.
  1. Choose which report to export:
    • To complete a new search to produce a report including information on clients that pass, select
      Export report
      in the
      Print Selection
      and
      Client Search
      window, select or create a report, then complete the search.
    • To produce an export report that includes information for all clients that passed the last search you completed, select
      Tools
      , then
      Export Report
      in the
      Data Mining
      window.
  2. In the
    Export Report
    window, select the clients for whom you will export a report.
  3. Select the
    Continue
    button to open the
    Export
    window, where you can set export options.
  4. Select the name of a custom report from the
    Report layout
    dropdown list.

    The column headings in the selected report will display in the next pane. For the 1040 Individual database only, Data Mining provides several additional report layouts.
  5. To show the custom report's column headings in the exported file, mark the
    Include column headings
    checkbox.
  6. Choose the file format:
    • Select
      DIF
      to export data for use with spreadsheet applications.
    • Select
      ASCII
      to export data for use with word-processing applications.
    • Select
      Excel
      to export data for use with Microsoft Excel.
  7. Use
    Change location
    if you want to change the file location.
  8. If you want to change the file name, select the text in
    Name of file to be created
    and enter the new name.
    note
    • Data Mining adds the correct file extension to the file name.
    • If a file attempts to open in the wrong format after you export it, right-click on the file icon and select the
      Open with
      link.
    • The
      Export
      window shows the number of clients available from the search and the name of the most recent search.
