The Bar Code Scan Utility has been discontinued starting with UltraTax CS 2023.
The UltraTax CS Bar Code Scan utility enables you to scan bar codes on W-2s and on 1120S, 1065, and 1041 Schedule K-1s that your clients submit for the preparation of their tax returns. Once the W-2s or K-1s are scanned, you can accept the data into your UltraTax CS client data files via data sharing.
Use this dialog to view details about the scanned data from a Schedule K-1 or W-2. As you scan, the data from the scanned form will display in the Scanned data group box. This data can then be shared with other UltraTax CS clients.
To open the UltraTax CS Bar Code Scan dialog, select the UltraTax CS Bar Code Scan icon on your Windows desktop, or choose Utilities then UltraTax CS Bar Code Scan from within UltraTax CS.
Fields & buttons
Shareholder / partner / beneficiary is an individual (1040) taxpayer
Mark this checkbox before scanning a K-1 for a 1040 individual client. Doing so will prompt UltraTax CS to store the client's first and last names in separate fields, rather than in a single field as indicated in the bar code.
Scanned data group box
The fields in this group box display the data scanned from the bar codes. The appropriate entity, TIN, and name will be displayed in the corresponding fields, and the data values and destination fields in UltraTax CS will be displayed in the list pane in this group box.
Session history
This pane displays general information about each bar code that was scanned during the current session. It includes information about fields that could not be shared and will require manual data entry. This information is visible for the current session only and will not be retained when you close the utility. To save the data in this pane to a separate file, select the Export As Text File button at the bottom of this dialog. To print the session history, select the Print button.
Export as Text File button
Select this button to save the information in the Session history pane to a separate file. The Session history pane displays general information about each bar code that was scanned during the current session. It includes information about fields that could not be shared and may require manual data entry. Unless you export to a text file, this information will not be retained when you close the utility.
Print button
Select this button to print a report containing the information in the Session history pane. The Session history pane displays general information about each bar code that was scanned during the current session. It includes information about fields that could not be shared and will require manual data entry.
