Security tab

Show all expandable content
Use this tab to set security options, such as enabling advanced or standard security settings, restricting access to various features in UltraTax CS, and changing your security configuration.
To open this tab, choose Setup then Security and enter the master password.
For more information on setting security options, seeĀ Setting security options.

Standard security settings

The following fields appear if you use standard security options.
Security options
This tab displays all security options. Mark and clear the appropriate checkboxes to configure your security options. A description of the option that is currently highlighted appears in the box at the bottom of this tab.
Description
This pane provides a description of the option highlighted in the list of security options above.

Advanced security settings

The following fields appear if you use advanced security options.
Assign unknown users to
Select this option to assign unknown users to a specified group. Select the appropriate group from the adjacent drop-down list.
When users who have not been assigned to a group open the application, they become part of the group you select for this option.
note
By default, all unknown users are assigned to the $Guests group.
Do not allow unknown users to access UltraTax CS
Select this option to restrict access to UltraTax CS. Any user who has not been assigned to a group will not be able to access UltraTax CS.
Instruct users to contact for assistance when access is restricted
Enter assistance information for users in this field. For example, you could enter the name and phone number that users should call if they have questions about their current group and privilege settings. This information will appear in the Details area of the Privilege Details message that opens under the following conditions.
  • When a user attempts to access a restricted area of UltraTax CS.
  • When the
Do not allow unknown users to access UltraTax CS
option has been selected in the Setup, Security Configuration, then Security tab and an unknown user attempts to open UltraTax CS.
Enable Standard Security button
Select this button to enable standard security features. When standard security is enabled, access to certain areas of UltraTax CS is controlled with a master password, instead of through the advanced security settings.
Use print options from Office Configuration
Mark this checkbox to set print options at the firm level, rather than at the user level.
Mask taxpayer identification numbers on reports
Mark this checkbox to mask TINs with asterisks on administrative reports such as client listings, Data Mining reports, and ELF Status reports.
Require a password to display SSNs
Mark this option to establish a password for users to enter when UltraTax CS is opened. When the password is entered, UltraTax CS opens but masks all SSNs to comply with IRS regulations related to disclosing tax information to preparers located outside the U.S.
Use client ID as the PDF copy name
To ensure strong password security when creating the PDF version of a client's tax return, source documents, or organizer, UltraTax CS automatically renames the PDF file if the client's ID contains nine digits (similar to a TIN) since the TIN is often used as the password. To prevent UltraTax CS from renaming the PDF file and to have the PDF filename exactly match the client's ID, mark this checkbox.
note
When multiple branches or office share licensees share the same installation of UltraTax CS, all advanced security options apply to all firms. However, the checkboxes in the Misc system options group box can be marked on a per-firm basis.
