Retrieve a completed
Web Organizer

Follow these steps to retrieve a completed
Web Organizer
.
  1. Select
    CS Connect
    in the toolbar.
  2. Set
    Web Delivery: ($) Retrieve completed organizers
    to
    Yes
    .
  3. Select
    Connect
    .
After you acknowledge the
Call Summary
window, the
Web Organizer (Retrieve)
window opens. All completed
Web Organizers
are automatically retrieved.
note
If you're not licensed for
FileCabinet CS
,
UltraTax CS
prompts you to save the file attachments to a location on your hard drive.
tip
  • Status
    : When you retrieve the
    Web Organizer
    , the system automatically logs the event in
    Utilities
    Client Status
    . You'll see
    Successfully Retrieved
    if it worked. If not, the
    Retrieval Status
    column will show the failure.
  • Duplicates
    : If a client already has a
    Web Organizer
    and you retrieve a new one, you have 3 choices:
    • Replace
      : The new
      Web Organizer
      replaces the old one.
    • Postpone:
      The application retrieves the new
      Web Organizer
      next time.
    • Delete:
      The application deletes the new
      Web Organizer
      , and won't prompt you about it again.

Notifications of retrieved data

You'll receive a notification by default when you open a return that includes pending organizer data to retrieve or discard. If you turned off this option and would like to turn it on it again, follow these steps:
  1. Select
    Setup
    , then
    User Preferences
    .
  2. Select the
    Data Entry
    tab.
  3. Mark the
    Inform me when retrieved data is present when a client is opened
    checkbox.

    You'll receive a message whenever you open a client file containing unreviewed
    Organizer
    data. It will contain instructions on how to accept or discard the data.
  4. Select
    OK
    .

Retrieve file attachments

Web Organizer
attachments don't import into
UltraTax CS
. Follow these steps to retrieve file attachments from
Web Organizers
using
FileCabinet CS
.
important
Web Organizer
attachments are not automatically scanned for viruses. Before opening any attachments, always scan them using your antivirus software.
note
  • If you don't have
    FileCabinet CS
    , you can save
    Organizer
    file attachments directly to your computer. However, you'll need compatible software installed to open these files.
  • By default, the NetClient Organizer greeting includes a custom paragraph telling clients that they can attach files to their
    Web Organizer
    . Follow these steps if you want to remove this custom paragraph from the greeting:
    1. Go to
      Setup
      [Entity]
      Organizer
      tab.
    2. Select
      Letters & Emails
      .
    3. Select the
      Custom Paragraphs
      tab and clear the
      Web Attachments
      checkbox.
  1. During the data retrieval process,
    UltraTax CS
    automatically sends any
    Web Organizer
    file attachments to
    FileCabinet CS
    . When the retrieval is complete, the
    FileCabinet CS Documents
    window opens and lists the names of the file attachments. Rename any of the file names as needed, then select
    OK
    .
    note
    If a client's access is limited in
    UltraTax CS
    (via
    File
    Client Properties
    Advanced Properties
    Restrict Access
    Deny FileCabinet CS access to client data
    checkbox), attachments won't go to
    FileCabinet CS
    .
    UltraTax CS
    will prompt you to save the attachments to your computer.
  2. Open the client's file in
    FileCabinet CS
    and go to their
    UltraTax CS 12/31/yy
    folder to view the attachments.
    note
    • You can't accept or reject data within attachments like you can with regular
      Organizer
      data. Enter the information from attachments into
      UltraTax CS
      manually.
    • If an attachment is a spreadsheet, you can import it directly into an organizer or tax statement window.
    • If a client forgets an attachment, ask them to use
      NetClient CS File Exchange
      or send it separately via email. You can't add attachments to an
      Organizer
      once submitted. The client would have to re-create and re-send the entire
      Organizer
      (which means they'd lose any data already entered).
