Set up Microsoft Exchange for NetStaff CS

existing
domains in these environments until

You'll need a domain name to set up Microsoft Exchange. Once the account is active, you can sync your email with phones and tablets with ActiveSync.
note
  • The user needs to have Virtual Office CS or SaaS permissions before you set up the Microsoft Exchange account.
  • Microsoft Exchange is billable (some exceptions may apply).
  1. Sign in to NetStaff CS.
  2. In the Admin tab of the navigation pane, select
    Users
    in the NetStaff CS section.

    If
    Users
    isn't available, you don't have access to this area.
  3. In the Users pane, enter any part of the user’s name or login in the
    Find
    field, then select the user’s name.
    important
    If the mailbox is already active, you can update the primary email address. Email items from the previous email address will stay in the mailbox. If you want to create a new mailbox and remove the old email items, turn off Microsoft Exchange, then turn it on with the new email address.
  4. In the Settings section, select
    Enable
    for Microsoft Exchange.
  5. Enter the email addresses the user will use with Microsoft Exchange.
    note
    • The 1st email address you enter is the primary email address. You can enter more email addresses for the user, but the extra addresses can't match the primary address of any other user.
    • Messages sent via Exchange will use the primary email address as the From address. You can't use secondary or alias accounts.
    • Enter only email addresses with domain names your firm has registered. For example, you shouldn't enter email addresses that include the following domain names: aol.com, yahoo.com, and gmail.com. While you can't set up Exchange for email addresses with domain names that your firm hasn't registered, you can set up POP3 accounts for these email addresses and get mail through Microsoft Outlook in Virtual Office CS or SaaS.
    • You can't configure more than 5 email addresses on this screen. If you need to add more addresses, contact support.
  6. Select
    Enter
    . Let the setup in progress complete before taking further action unless you need to stop it.

    If you select
    Enable
    for Microsoft Exchange again, you'll get a
    Setup in progress
    message next to each email address. This message displays until the Thomson Reuters Virtual Office CS or SaaS administrators set up the account for each email address. This takes 3 to 5 business days. As each account is set up, the message changes to
    Active
    . The Exchange account will be active for this portal until the portal is deleted.
  7. One-time setup
    : After the status of the 1st Exchange account your firm adds changes to Active, you'll need to configure Microsoft Exchange. You don't need to repeat this step for exchange accounts that your firm adds later.

    • If you configure Exchange before the status of your firm’s 1st Exchange account changes to Active, the staff member could lose access to mail for several days.
    • ActiveSync gives Microsoft Exchange users access to their Microsoft Outlook personal calendar, contacts, and email through a phone or other personal handheld device. Before a NetStaff CS user can sync Virtual Office CS or SaaS Outlook data with an Android or iOS device, you'll need to complete the Microsoft Exchange setup for the NetStaff CS user.
