Migrate FileCabinet CS data to Virtual Office CS or SaaS

Follow these steps to move FileCabinet CS data from a local or network drive to Virtual Office CS or Software as a Service (SaaS). Then set up the Virtual Office CS or SaaS installation of FileCabinet CS.

Archives aren't included in drawer backups. As an alternative, you can restore the archives, back up the data, migrate to Virtual Office CS or SaaS, and recreate the archives in Virtual Office CS or SaaS.
  1. Part 1: Back up data from your local installation of FileCabinet CS
    important
    We recommend backing up FileCabinet CS data in 1 GB pieces rather than the entire database. This will help avoid issues when restoring data into Virtual Office CS.
  2. Create a folder on your local hard drive:
    1. Double-click
      My Computer
      .
    2. Double-click the
      C:\ drive
      .
    3. Select
      File
      ,
      New
      , then
      Folder
      .
    4. Name the folder
      FCSbackups
      .
    note
    If you use multiple data locations, you should create a separate backup folder for each data location.
  3. Open your local installation of FileCabinet CS.
  4. Optional: Rebuild the drawer list: Select
    Help
    ,
    Repair
    ,
    Rebuild List of Drawers
    , then
    Done
    when FileCabinet CS finishes rebuilding the list.
  5. Select
    File
    , then
    Backup
    .
  6. Double-click drawers to move them to the Selected pane, or use
    Select All
    .
    note
    Any open drawer is listed in the Selected pane.
  7. In the Backup data group area, select
    Modify Backup Location
    , go to
    C:\FCSbackups
    , and select
    OK
    .
  8. If you use multiple data locations, sign in to each location and repeat steps 2 through 4. Make sure to select the correct backup destination in step 4.
  9. Optional: To back up the FileCabinet CS system settings (NetClient CS folder list, default email text, annotations from the Stamp Library, and more), select
    System Settings
    from the dropdown list in the Restore window, double-click the items you want to back up, and select
    Backup
    .
    important
    • Don't back up your firm's data locations.
    • If you use Document Presentation, back up
      Folder Listings
      and the
      NetClient CS
      folder.
    • Don't back up Misc System Settings if you have advanced user/group security settings enabled. The security settings included in this data can cause problems opening the application in the Virtual Office CS or SaaS environment.
  10. Close the local installation of FileCabinet CS.
    Internal use only
    note
    If a user has backed up Misc System Settings, before they restore into Virtual Office CS or Software as a Service (SaaS), they must delete these files from the backup: ZFCSMSC.DAT and ZFCSMS2.DAT.
  11. Part 2: Restore data into the Virtual Office CS or SaaS installation of FileCabinet CS
  12. Select
    Applications
    in the NetStaff CS tab of the navigation pane.
    note
    If
    Applications
    isn't available, you don't have access to applications through Virtual Office CS or SaaS.
  13. In the Virtual Office CS screen, select
    FileCabinet CS
    .
  14. Contact Web Services Support if you need to set up multiple data locations.
  15. Select
    File
    , then
    Restore
    .
  16. In the Restore Data group area, select
    Change Restore Location
    , and go to the
    FCSbackups
    folder on your local C:\ drive.
    note
    In the Virtual Office CS or SaaS environment,
    C$ on Client (V:)
    is your local C:\ drive.
  17. Double-click 1 or more drawers to move them to the Selected pane, or use
    Select All
    .
  18. To recreate the folder structure of each drawer, mark
    Automatically create folders
    .
  19. Select
    Restore
    .
  20. If you use multiple data locations, repeat this procedure for each data location.
  21. Optional: If you backed up the FileCabinet CS system settings, select
    System Settings
    from the dropdown list and restore the items.
  22. Part 3: Set up the Virtual Office CS or SaaS installation of FileCabinet CS
  23. To restore drawer families, select
    Help
    ,
    Repair
    , and select
    Rebuild Drawer Familes
    in the
    Drawers
    tab.
  24. Select
    Setup
    , then
    System Configuration
    and change the settings for your firm.
    important
    If your firm uses advanced security, you'll need to set up the advanced security again.
  25. Each FileCabinet user should go to
    Setup
    , then
    User Preferences
    to verify their user preferences.
You're now ready to work in FileCabinet CS in Virtual Office or SaaS.
