Migrate Microsoft Outlook data to Virtual Office CS or SaaS
Follow these steps to export PST files from a local installation of Microsoft Outlook and then import the PST files into the Virtual Office CS or Software as a Service (SaaS) installation of Outlook.
- Part 1: Export data from your local installation of Microsoft OfficeFollow these steps to export PST files from a local or network installation of Microsoft Outlook. The steps required to do this vary depending on the version of Outlook installed on your computer.
- Create a folder on your local hard drive:
- Double-click theMy Computericon.
- Double-click theC:\ drive.
- SelectFile,New, thenFolder.
- Name the folderOutlookbackups.
- Open Microsoft Outlook.
- Depending on your version of Outlook, select either or .
- In the Import and Export Wizard, selectExport to a file, thenNext.
- In theCreate a file of typelist, selectOutlook Data File (.pst), thenNext.
- In theSelect the folder to export fromlist, select the Outlook folder with the data you want to export.noteIf you select the top-level folder, Outlook will export all mail and contacts.
- Make sure theInclude subfolderscheckbox is marked, then selectNext.
- SelectBrowseand go to theC:\Outlookbackupsfolder you created in step 1.
- EnterOutlook PST backupin theFile namefield and selectOK.noteEntering a more specific name for the PST helps you to easily identify the file when you import it into Virtual Office CS or SaaS Outlook.
- SelectFinish.TheCreate Outlook Data Filewindow opens. You can enter a password for the PST file, then selectOK. If you don't want to password protect the PST file, leave the fields blank and selectOK.Depending on the size of the PST file, it may take several minutes for Outlook to create the export file.
- To export more PST files or contacts, repeat steps 3 through 10. In step 9, make sure to enter a unique name for the export file.
- Close the local installation of Microsoft Outlook.importantIf you don't close the local installation of Outlook, you might not be able to import the PST files into Virtual Office CS or SaaS Outlook. If this happens, you'll receive a message that Outlook couldn't access the PST file when you attempt to import the file.
- Part 2: Import PST files into Virtual Office CS or SaaS Outlook 2021
- Open Outlook through Virtual Office CS or SaaS:
- SelectApplicationsin the navigation pane.noteIfApplicationsisn't available, you don't have access to applications through your portal.
- Select theMicrosoft Outlookicon.
- Create your email account and configure Outlook:noteComplete this procedure only if the Microsoft Outlook Startup wizard opens when you open Outlook through Virtual Office CS or SaaS. If the wizard didn't start, skip to step 15.
- In the wizard, selectNext.
- On the Email Accounts page, leaveYesselected to indicate that you want to create an email account.
- SelectNext.
- Set up the PST file:
- Select theFiletab in the ribbon.
- SelectInfo, theAccount Settings icon, thenAccount Settings.
- Select theData Filestab.
- SelectAdd.
- In theCreate or Open Outlook Data Filewindow, enter the name of the new PST file in theFile namefield.
- Optional: Mark theAdd optional passwordcheckbox if you want to create a password for the PST file.
- SelectOK.
- Repeat steps 4 through 7 to create folders for more PST files or contacts you want to import.
- SelectClose.
- Import the PST data:
- Select theFiletab in the ribbon,Open, thenImport.
- In theImport and Export Wizardwindow, selectImport from another program or file, thenNext.
- In theSelect file type to import fromlist, selectOutlook Data File (.pst), thenNext.
- SelectBrowse, theFoldersarrow, thenComputerto display your local and network drives.
- Go to theOutlookbackupsfile on your local C:\ drive, select the PST file, thenOpen.note
- In the Virtual Office CS or SaaS environment,C$ on Client (V:)is your local C:\ drive.
- If you entered a password for the PST file, you'll need to enter the password before Outlook will let you import the file.
- SelectNext.
- In theSelect the folder to import fromlist, select the folder where you want to import the data from the PST file.
- Make sure theInclude subfolderscheckbox is marked, that theImport items into the same folder inoption is selected, and thatOutlook Data Filedisplays in the dropdown list.
- SelectFinish.Depending on the size of the PST file, it may take several minutes for Outlook to import the data.
- Repeat this procedure to import data for more PST files.
