Follow these steps to reduce the disk space used by Fixed Assets CS.
Adjust your scanner settings
To reduce the amount of space used to store scanned documents, set your scanner software to scan documents in black and white (instead of in grayscale or in color).
Limit the number of years of depreciation data retained
Limit the number of years depreciation data is retained to reduce the amount of disk space used by Fixed Assets CS.

This procedure affects UltraTax CS returns for years beyond those retained.
In Fixed Assets CS, select
Setup
, then
System Configuration
.

Depending on your security configuration, you may need to enter a password to open this window.
Select the
Options
tab.
Enter a number from 2 to 10 to specify the maximum number of years data to retain for all clients. This range includes the client's current-year and prior-year data files.
Select
OK
.
When you close the client data to the next year, Fixed Assets CS will delete data older than the number of years entered in this field (minus 1 for the current-year’s data files).
Archive client data
You can back up old or unused client data to a low-cost storage drive and delete the data from the production server.

The archive drive is for backups only. Storage of live data isn't permitted.
If your firm is paying for extra production storage space, you might be able to save money by moving older data to the archive storage drive. For pricing details, sign in to NetStaff CS, select

Follow these steps to change the backup/restore location.
In Fixed Assets CS, select
File
, then
Backup
.
Select
Modify Backup Location
and enter
W:\DSW_ARCHIVE
.
Select
OK
.
Select the client data you want to back up, then
Backup
.
Once you've backed up the data, select
File
, then
Delete
to remove it.
note
Don't use the archive location to store live production data. You can store archived data in the archive drive at a lower cost. The archive drive doesn't perform at the same level as the production file servers.
