Follow these steps to reduce the disk space used by UltraTax CS.
Remove prior-year data
Back up prior-year data you rarely need to an archive storage drive and delete it from Virtual Office CS or SaaS.

If your firm is paying for extra production storage space, you might be able to save money by moving older data to the archive storage drive. For pricing details, sign in to NetStaff CS, select

in the Home Dashboard, then
Pricing information

Open UltraTax CS.
Select
File
, then
Backup
.
Select the clients whose data you want to back up, then
Select
.
Make sure the path in the
Backup location
field goes to the archive storage drive. Use
W:\UTxx_ARCHIVE
as the path to the archive storage drive location. To change the archive location, select
Modify Backup Location
.

Don't use the archive location to store live production data. You can store archived data in the archive drive at a lower cost. The archive drive doesn't perform at the same level as the production file servers.
Select
Backup
.
After you've backed up the client data, select
File
, then
Delete
to delete the clients from UltraTax CS.
Restore archived data
In UltraTax CS, select
File
, then
Restore
.
Make sure the restore path is
W:\UTxx_ARCHIVE
.
Select the clients you want to restore, then
Restore
.
Delete unnecessary client data proforma’d from the previous year
If you proforma’d data to the current year from the prior-year version of UltraTax CS, and your firm won't prepare a return for that client in the current year, you can save disk space by deleting the client data from the current-year version of UltraTax CS without deleting prior-year depreciation data.
In the current-year version of UltraTax CS, close all clients.
Select
File

Delete
.
Select the clients whose data was proforma'd but not needed, then
Select
.
Clear the
Delete Fixed Assets CS data
checkbox.

This checkbox is available only if you're licensed for Fixed Assets CS. If the checkbox is marked, UltraTax CS will delete the current-year depreciation data.
