Export mailbox data to an Outlook data file

You can export mailbox data to an
Outlook data file
(
.pst
file) to move your data from Hosted Exchange.

If you're thinking about doing an Outlook data file export, consider the following:
Before exporting data to an Outlook data file,
Cached Exchange Mode
needs to be turned off for your firm. This may reduce Outlook performance, including slower folder navigation. Contact Support to turn off
Cached Exchange Mode
.

Support needs to enter a WSAdmin ServiceNow ticket before the customer begins the
PST
file export. The ticket needs to include the following:
  • Firm information.
  • The following text:
    The Firm is self-exporting PST files - please disable cached exchange mode.
Once
Cached Exchange Mode
is turned off for your firm, do the following to export mailbox data to a
.pst
file:
  1. Open
    Outlook
    in Virtual Office CS.
  2. Select
    File
    Open & Export
    Import/Export
    .
  3. In the
    Import and Export Wizard
    , select
    Export to a file
    Next
    .
  4. In the
    Create a file of type
    list, select
    Outlook Data File (.pst)
    Next
    .
  5. Go to the
    Select the folder to export from
    list, then select the Outlook folder with the data you want to export.

    If you select the top-level folder, Outlook will export all mail and contacts.
  6. Mark the
    Include subfolders
    checkbox, then select
    Next
    .
  7. Select
    Browse
    and find the folder you want to save the file to.

    We recommend saving to
    wincsi Y:\OfficeDocs
    folder for a lower failure rate. You can move the file to a different folder afterwards.
  8. Edit the
    File name
    then select
    OK
    .
    note
    Entering a more specific name for the file will help you identify it if you want to move it to another folder later.
  9. Select
    Finish
    .
  10. In the
    Create Outlook Data File
    screen, enter a password for the
    .pst
    file then select
    OK
    . If you don't want the file password-protected, leave these fields blank.
    note
    This may take several minutes to complete.
  11. If you need to export more files or contacts, repeat steps 2 through 10. In step 8, make sure to enter a unique name for the export file.
