Export mailbox data to an Outlook data file
You can export mailbox data to an
Outlook data file
(.pst
file) to move your data from Hosted Exchange.note
If you're thinking about doing an Outlook data file export, consider the following:
- Data file exports don't typically capture everything.
- They can result in some data loss, especially if items are corrupted.
- Thomson Reuters can't provide reports showing which items were successfully exported or lost.
- You're responsible for verifying your data.
- To move all Hosted Exchange data completely and reliably, your firm can select from these 2 other options:
Before exporting data to an Outlook data file,
Cached Exchange Mode
needs to be turned off for your firm. This may reduce Outlook performance, including slower folder navigation. Contact Support to turn off Cached Exchange Mode

Support needs to enter a WSAdmin ServiceNow ticket before the customer begins the
PST
file export. The ticket needs to include the following:
- Firm information.
- The following text:The Firm is self-exporting PST files - please disable cached exchange mode.
Once
Cached Exchange Mode
is turned off for your firm, do the following to export mailbox data to a .pst
file: - OpenOutlookin Virtual Office CS.
- Select .
- In theImport and Export Wizard, select .
- In theCreate a file of typelist, select .
- Go to theSelect the folder to export fromlist, then select the Outlook folder with the data you want to export.noteIf you select the top-level folder, Outlook will export all mail and contacts.
- Mark theInclude subfolderscheckbox, then selectNext.
- SelectBrowseand find the folder you want to save the file to.noteWe recommend saving towincsi Y:\OfficeDocsfolder for a lower failure rate. You can move the file to a different folder afterwards.
- Edit theFile namethen selectOK.noteEntering a more specific name for the file will help you identify it if you want to move it to another folder later.
- SelectFinish.
- In theCreate Outlook Data Filescreen, enter a password for the.pstfile then selectOK. If you don't want the file password-protected, leave these fields blank.noteThis may take several minutes to complete.
- If you need to export more files or contacts, repeat steps 2 through 10. In step 8, make sure to enter a unique name for the export file.
