Microsoft Office 2021 upgrade

Thomson Reuters will upgrade Microsoft Office applications on Virtual Office CS and Software as a Service (SaaS) to version 2021 on January 5, 2025. As a part of this upgrade,
all
Microsoft Outlook account profiles will be reset.
Some users may need to take action prior to the upgrade in order to prevent potential data loss of
non-mail related items (calendar, contacts, notes, tasks, etc.)
. This backup must be done prior to the upgrade date of
January 5, 2025
and cannot be performed by Thomson Reuters. 

Actions required before upgrade on January 5, 2025

  • If your firm is using Microsoft Exchange hosted on Virtual Office CS or SaaS, there is no action required prior to the upgrade.
  • If your firm is using Microsoft Exchange
    not hosted
    on Virtual Office CS or SaaS, potential backup action is required. See the
    Backup Steps
    section for instructions.
  • If your firm is using non-Microsoft Exchange accounts (POP/IMAP), backup action is required.  
important
Firms NOT using Microsoft Exchange hosted on VO or SaaS must perform the pre-upgrade steps prior to
January 5, 2025.
To prevent data loss and ensure it is up-to-date, please export it as close as possible to the upgrade date of January 5. The exported data will reflect the date and time the export is performed.
Backup steps:
  1. Save your account settings (for non-Microsoft Exchange users)
    1. Sign in to NetStaff CS and open your Virtual Office Microsoft Outlook application.
      note
      If you access your Virtual Office CS applications directly through the Remote Desktop application or the Windows app for macOS users, open Remote Desktop app or Windows app to sign in to Virtual Office CS.
    2. Go to
      File
      , then
      Account Settings
      .
    3. Double-click your email account.
    4. Take a screenshot or copy of your
      POP and IMAP Account Settings
      screen and save for after the upgrade.
    5. Repeat the same steps for every Microsoft Outlook user profile (email address) you have set up in Virtual Office CS / SaaS.
  2. Export your data (for non-Microsoft Exchange users and Microsoft Exchange NOT hosted by Virtual Office CS/SaaS users)
    1. In Outlook, select the 3-dots menu at the bottom of the screen, then select
      Folders
      .
    2. If the Folders view shows
      (This computer only)
      for any items you actively use, follow the rest of the instructions, otherwise you can stop here.
    3. In Outlook, select the
      File
      menu, then
      Open & Export
      , then
      Import/Export
      .
    4. On the Import and Export Wizard select
      Export to a file
      then
      Next
      .
    5. Choose
      Outlook Data File (.pst)
      and select
      Next
      .
    6. We recommend that you select the entire account and export everything. You can choose to backup only individual items such as the Calendar, but you would have to repeat this step for other items like Contacts and Notes. Highlight the choice and select
      Next
      .
    7. The default save location is Y:\OfficeDocs\<username>\My Documents\Outlook Files\backup.pst. Select
      Finish
      .
    8. On the
      Create Outlook Data File
      screen, enter a password for the .pst file or choose
      OK
      to continue with no password.
    9. A Microsoft Outlook dialog will appear while items are being exported. When it disappears, the export is complete.

Actions to take after upgrade on January 5, 2025

The first time you launch Microsoft Outlook after the upgrade, you have to go through the Outlook setup wizard.
If your firm uses Microsoft Exchange:
  1. On the initial screen, your Exchange email address will appear. Select
    Connect
    .
  2. Select
    Exchange
    to go to your inbox.
If your firm does NOT use Microsoft Exchange:
  1. On the initial screen it will likely show an incorrect email using @portal.local or @vo.thomsonreuters.com. Overwrite that value with your correct email.
  2. Select
    Advanced options
    , then mark
    Let me set up my account manually
    and select
    Connect
    .
  3. Select the correct option for you:
    • If you use outlook.com, select
      Outlook.com
      .
    • If you use gmail.com, select
      Google
      .
    • Depending on the account settings you saved prior to the upgrade, select
      POP or IMAP
      .
  4. Enter the information you saved prior to the upgrade then continue to your account to import the data you saved previously.
  5. In Outlook, select the
    File
    menu, then
    Open & Export
    , then
    Import/Export
    .
  6. Select
    Import from another program or file
    and select
    Next
    .
  7. Choose
    Outlook Data File (.pst)
    then select
    Next
    .
  8. Find the file you previously saved. The default restore location is Y:\OfficeDocs\<username>\My Documents\Outlook Files\backup.pst.  If you changed the name of the backup.pst, edit, or browse for the file.   We recommend you select
    Do not import duplicates
    then select
    Next
    .
  9. On the
    Import Outlook Data File
    screen make sure the correct account appears and select
    Finish
    to complete the import.
