Use Microsoft 365 in Virtual Office CS or SaaS

To use Microsoft Office applications in Virtual Office CS or SaaS, your firm needs a Microsoft 365 account within its tenant. Each new session requires authentication and your Firm administrator manages permissions. While Thomson Reuters hosts the applications, your firm handles Microsoft 365 administration.
You'll need a firm Microsoft 365 account to access Microsoft Office in Virtual Office CS/Software as a Service (VO/SaaS).
Supported licenses include:
  • Microsoft 365 Business Premium
  • Microsoft 365 F3
  • Microsoft 365 E3
  • Microsoft 365 E5
  • Microsoft 365 Apps for Enterprise

Initial Office activation

After opening an Office application in the VO/SaaS environment for the 1st time, a
Sign in to set up Office
prompt will require you to authenticate with your M365 credentials.
  1. Select
    Sign in
    .
  2. On the
    Activate Office
    prompt, enter your M365 credentials.
  3. Complete any required multi-factor authentication steps that your M365 tenant requires.

Per-session M365 authentication

If you're still on Hosted Exchange, go to the next section. Migrations are occurring May 2026 to August 2026 with a deadline of August 31, 2026.
Microsoft 365 requires authentication to your licensed account at the beginning of each new VO Azure Virtual Desktop (AVD) session.
  1. For every new VO AVD session, open
    Outlook
    as your 1st Microsoft Office application.
  2. When prompted, enter your M365 password in the Microsoft
    Enter password
    screen.
  3. Complete any multi-factor authentication steps your M365 tenant requires.
  4. If there's a
    Sign in
    option on the Outlook toolbar, select any folder in your Outlook folder list. The
    Sign in
    field will change to your profile picture (or your initials if you haven't uploaded a profile picture yet).
  5. When you open another MS Office application:
    • If your profile doesn’t show, select
      File
      Account
      .
    • Select
      Switch account
      and select the account that corresponds to your M365 account.
    • You have to select your M365 account to access SharePoint or OneDrive.

Per-session M365 authentication for firms that are still on Hosted Exchange

If you're still on Hosted Exchange, refer to our transition guidelines for moving to M365. Hosted Exchange support will expire on August 31, 2026.
  1. For every new VO AVD session, open
    Outlook
    as your 1st Microsoft Office application.
  2. Select
    File
    Office Account
    .
  3. Verify you're signed in to your M365 account. If you're not, do the following:
    1. Select
      Switch account
      Add account
      .
    2. Enter your M365 email address and password.

    The
    Sign in
    option on the Outlook toolbar will still show even after you sign in to your M365 account.
  4. When you open another Microsoft Office application, make sure you're signed in with your M365 account.

Manage VO/SaaS Microsoft Office permissions

Virtual Office CS users can access Microsoft Office applications only if their Firm Administrator turns on the permission. Without it, they'll only have access to MS Outlook.
For SaaS users, all Microsoft Office applications are available as part of the selected SaaS profile.

Microsoft 365 administration responsibilities

Thomson Reuters provides hosted Office applications. However, your firm or your Microsoft Cloud Service Provider is responsible for owning and administering your Microsoft 365 environment, including:
  • Your Microsoft 365 tenant.
  • Your Microsoft 365 sign-in credentials.
  • Your Exchange mailboxes.
  • Your email administration and configuration, including aliases, groups, spam filtering, transport rules, retention policies, and compliance settings.
  • Your DNS and Microsoft 365 mail records, including MX, Autodiscover, SPF, DKIM, and DMARC.
Since your firm manages its Microsoft 365 license, Thomson Reuters doesn't charge separately for using Microsoft Office in the Virtual Office/SaaS environment.
