Set up integration with GoFileRoom

When you're licensed for GoFileRoom and have
Drawers
set up for your firm, you can print documents such as reports, checks, invoices, financial statements, and letters from Accounting CS to GoFileRoom. Use the
GoFileRoom Index Mapping
window to define drawers and index values in preparation for printing documents for your firm or clients.
note
When sending documents to GoFileRoom from Accounting CS, you'll need to make sure that the client name is an exact match between the 2 applications.
Do the following to map GoFileRoom indexes in specific drawers in GoFileRoom from Accounting CS:
  1. In Accounting CS, select
    Setup
    ,
    GoFileRoom
    , then
    Login Information
    to establish a connection between Accounting CS and GoFileRoom.
    note
    You'll be locked out of your GoFileRoom account after 3 unsuccessful attempts to sign in.
  2. Select
    Setup
    ,
    GoFileRoom
    , then
    Index Mapping
    to open the
    GoFileRoom Index Mapping
    window.
  3. Based on the type of documents that you're sending to GoFileRoom, you can optionally select 1 of the following tabs then select the drawer that you've set up in GoFileroom for each item to be mapped.
    • Accounting
      : Includes accounting reports, letters, deposit slips, payee checks, Trade vendor checks, Firm vendor checks.
    • Accounts Payable
      : Includes accounts payable reports and checks.
    • Accounts Receivable
      : Includes accounts receivable invoices and statements.
    • Payroll
      : Includes payroll reports, payroll checks, billing invoices, 1099 Recipient checks, Firm vendor checks (for payroll liabilities), Tax Agent checks, and Payroll Agent checks.
    • Payroll Tax Forms
      : Includes payroll tax forms.
    • Financial Statements
      : Includes financial statements.
    • Workpapers
      : Includes workpapers reports and engagement binders.
    • Firm
      : Includes firm-level reports and documents.
  4. From the Index Value Type column, select the value to match the index item that you're mapping to in GoFileRoom. For example, you can apply the
    Variable
    index value for a Report Date with a specific date format and have the date update automatically. You can also select a value that's been defined in GoFileRoom.
    note
    • If you select
      Variable
      from the dropdown, you can select an item from the dropdown in the
      Value
      field.
    • If you select a date value in the
      Value
      field, you can choose a format for the date from the dropdown in the
      Date Format
      field. By default, the
      Date Format
      fields are unavailable until you choose a
      Date
      value in the
      Value
      field.
    • If you select
      Text
      from the dropdown, you can enter any text of up to 50 characters in length in the
      Value
      field.
  5. Mark the
    Display mapping dialog at print
    checkbox to show the
    GoFileRoom Index Mapping
    window when you select to print to GoFileRoom in the Print window. When you do this, you can update index mapping values at the time of printing to GoFileRoom.
  6. Repeat this process for any of the remaining tabs in this window to complete the index mapping process then select
    OK
    when you're done.
