Print payroll liabilities checks

You can use the
Payroll Liabilities
tab of the
Print Checks
screen to print payments for all or selected clients or vendors with unpaid liabilities.
When you're ready to pay after creating liabilities via payroll check printing, invoice printing, or through the generation of liabilities for handwritten checks, follow these steps.

Liabilities that are being funded, rather than being paid directly from the client's checkbook, don't display in the
Payroll Liabilities
tab. To create funded liability payments, you'll need to use the
Manage Impound Payments
screen.
  1. Select
    File
    ,
    Print Checks
    , then the
    Payroll Liabilities
    tab.
  2. Expand the list of liabilities for each client and vendor by selecting the plus sign next to the client and vendor records. The unpaid liabilities for each vendor are displayed grouped by their transaction date or the date of the payroll they were generated from.  You can select liabilities for 1 or more transaction dates to be paid.

    You can change the bank account from which the payment is made by updating the information in the Payment Preferences section of the Main tab of the
    Setup
    then
    Vendors
    screen.
  3. Either mark the checkboxes for individual liabilities or mark the checkbox next to the client or vendor record to pay all liabilities for that client or vendor.

    If the payment amount for a vendor is negative, you won't be able to print the check. Negative liabilities are generated when payroll checks are voided, deleted, or reversed.
  4. If you want to use the liability due date as the payment date, mark the
    Use due date as payment date
    checkbox. If multiple liabilities are selected for a vendor and they have different due dates, the earliest of those dates will be used as the payment date. If this checkbox isn't selected, the system date is used as the payment date by default.
  5. When the appropriate liabilities are selected, select
    Print Selected
    to open the
    Print
    window and then print the payment checks.
  6. The
    Check Printing Confirmation
    window opens so you can verify that all checks printed successfully. If they did, select
    Yes
    . If they didn't, select
    No
    .
  7. If you select
    No
    , you'll be prompted to select the checks that didn't print correctly. Select them then select
    OK
    .
    note
    If you select
    No
    , the liabilities remain in the
    Payroll Liabilities
    tab until they're successfully paid or until they're deleted in the
    Manage Payroll Liabilities
    screen.
  8. After you've confirmed that the checks were printed successfully, the
    Print Payment Forms
    window displays the payment forms that correspond to the selected liabilities. Verify that the correct payment forms are selected to print then select
    Print Selected
    to print the forms.
    note
    • If you unmark the checkboxes for any forms, you'll need to print them later manually via the
      Process Payroll Tax Forms
      screen.
    • When there's no payment due for an agent with a payment method of
      Check
      and the agent requires a zero-amount payment coupon, the form will display in the
      Print Payment Forms
      window to be printed. If no zero-amount payment form is required, it won't display.
    • When there's no payment due for an agent with a payment method of
      Direct Deposit
      and the agent accepts zero-amount EFT files, the application will create the zero-amount ACH file. If the agency doesn't accept zero-amount EFT files, the zero-amount payment form will display in the
      Print Payment Forms
      window so it can be mailed to the agent.
  9. In the
    Print
    window, select your print options, then select
    OK
    to print the payments.
  10. The
    Check Printing Confirmation
    windows displays so you can verify that all payments printed successfully. If they did, select
    Yes
    . If they didn't, select
    No
    .
    note
    You can view the printed liability checks in the
    Enter Transactions
    screen while you're in Bank Account mode.
