User Administrative Profiles

Each user has an administrative profile, which includes settings such as the user's system role and access to matters, analytics, and reports.
You can view your own administrative profile. If your system role permits, you can view and update administrative profile information for other users.
  • Company system administrators can update the user administrative profile for company users. Because law firms may be working with multiple clients on Tracker, company users cannot edit the administrative profile of firm users. Only law firm system administrators can edit the user administrative profile of firm users.
  • Firm Office Administrators can update the user administrative profile for firm users.
  • Firm Office Administrators can edit administrative profiles only for users in their own office.
Most settings on the administrative profile page were defined when the user was added to the system. Other settings can be updated when necessary.
View Your Administrative Profile
To view your administrative profile, select the

icon in the left navigation >

Active
A check mark appears in the
Active
box to indicate you are an active user.
Last login
Displays the date and time you last signed in to Tracker.
You can select the
Export login & lockout 90-day history
link to save the most recent 90 days of login activity to a .csv file. The file is automatically saved to your Downloads folder.
User ID
Each person's user ID is their email address.
Email
Your primary email address.
Your email address is also your user ID. If you change your primary email address, your user ID will also be updated, and you will be required to create a new password.
Name
Your name as it appears it Tracker.
Company
Your company name appears in this field.
Office/Region
The name of your primary office appears in this field.
System Role
Your system role.
Matter Upload Security
Indicates whether the user can create, update, or close matters using the upload function.
Scheduled Reports Security
Indicates whether you can schedule your own saved reports.
Legal Hold Report Creation
Indicates whether you can create legal hold reports.
Invoice Rejector Security
If the
Allow to reject unapproved invoices anytime
is checked, you can reject invoices.
Employee ID
Your employee ID.
New User Email
Indicates whether the new user email was sent to you.
Notes
Shows any notes that have been entered. If your system role is Company System Administrator, you can add a note.
Participant Tags
Let you add participant tags. You can select a maximum of five participant tags.
Time Entry
Indicates if time entry is required. These fields apply primarily to timekeepers. If
Yes
is selected next to
Require to submit internal time entries
you must log your time. Additional fields appear:
  • Annual employee cost (fully loaded):
    The total amount of salary and other overhead expenses associated with the timekeeper. The amount entered in this field is used to calculate the timekeeper's hourly rate.
  • Average Hours/Week:
    The timekeeper's number of work hours per week. The number entered in this field is used to calculate the timekeeper's hourly rate. It does not affect the timekeeper's ability to bill more or less hours per week on a timesheet.
  • Hourly Rate:
    The timekeeper's hourly rate.
  • View user's time entry history
    : Select this link to download a .csv wth your time history.
Access to other users reports?
Select
Yes
to give this user the ability to manage or edit reports other users have created. This option is enabled by default for company system administrators, and can be enabled for other users on an individual basis.
Access Limitations
Indicates whether there are limitations to matters and reports you can access. If there are none, you have access to all matters and all reports.
Grant this user access to Analytics/Dashboards?
Indicates whether you have access to classic dashboards.
Enable Power BI dashboards
Indicates whether you have access to next-generation Power BI dashboard.
Enable dashboards access based on matter access
Indicates whether the dashboards you can use are determined by your matter access.
Grant this user access to the following persona based dashboard
Indicates the next-generation dashboards you can access.
Grant this User View access to Dashboard Manager?
Indicates whether you can view next-generation dashboards that have been set up in Dashboard Manager.
Grant this User Edit access to Dashboard Manager?
Indicates whether you can edit next-generation dashboards that have been set up in Dashboard Manager.
Delegates
Shows the list of your assigned delegates.
Update Another User's Administrative Profile
  1. Select
    Users
    >
    User List
    in the left navigation,.
  2. Select the
    Edit
    link in the
    Admin Profile
    column next to the name of the user whose profile you want to update.
  3. Make the necessary changes to the user's administrative profile.

    Active
    Indicates whether the user is activate or has been deactivated.
    When a user is activated, a check mark displays in the
    Active
    check box. When a user is deactivated, the
    Active
    check box is clear.
    A deactivated user:
    • Cannot sign in to Tracker.
    • No longer appears as a matter participant.
    • Cannot be added to matters or selected as the lead for any existing or new matters.
    Last login
    Displays the date and time the user last signed in to Tracker.
    If the user has been locked out, a message appears here. Select the
    [unlock]
    link to restore the user's ability to log in to Tracker.
    You can select the

    User ID
    Displays the user's Tracker user ID.
    Email
    The user's primary email address. The user ID is the user's email address.

    Name
    The first and last name of the user.
    Office/Region
    The name of the user's primary office appears in this field. If necessary, you can use the drop-down to change the office or region.
    Company
    The user's company.
    System Role
    Shows the user's system role.
    To change the system role for this user, use the dropdown to select a new system role.
    Matter Upload Security
    Indicates whether the user can upload matters to Tracker.
    Scheduled Reports Security
    Indicates whether the user can schedule their own saved reports.
    Legal Hold Report Creation
    Indicates whether the user can create legal hold reports.
    Invoice Rejector Security
    If the
    Allow to reject unapproved invoices anytime
    is checked, the user can reject invoices.
    Employee ID
    The user's employee ID.
    The employee ID can be inserted into AP extracts so that the employee who approved the invoices can be identified.
    New User Email
    Indicates whether the new user email was sent.
