Certificate Manager overview

Certificate Manager allows you to track and validate exemption certificates.
These next sections explain exemption certificates and how they're processed.

Exemption certificate fields

Each exemption certificate includes fields you define through fields in the product. Determination incorporates these configurations along with your company settings into its transaction processing logic.
The primary fields you configure are:
  • Customer and Company:
    Certificates are tied to a customer and company.
  • Jurisdiction:
    Certificates apply at the local authority levels or at higher levels, such as state or country.
  • Validity:
    Dates determine when a certificate's valid.
  • Rationale:
    Certificates have codes explaining the reasons for exemptions.
  • Criteria:
    Filters determine if certificates apply to transactions, and filters can include particular products or services based on product or commodity codes.
  • Monetary Details:
    If a customer isn't fully exempt, the certificate lists the exempt amount and currency, or alternatively, the basis percent.

Transaction processing logic

When a transaction's processed, the product checks to see if the company's using exemption certificates (as defined in its Company Preferences page), and then the product searches for certificates associated with the selected customer.
These conditions are tested:
  • Exempt reason
  • Certificate number
  • Certificate effective date range
  • Certificate status
  • Certificate limited-use criteria
  • Product code criteria list
  • Commodity code criteria list
  • Applicable zones and authorities
  • Currency

A certificate match

At a minimum, a certificate must match the customer, invoice date or certificate date, and ship-to address.
