Live Sync Overview

Live Sync automatically syncs information from SPbinder into the tax software in real time. This means when you update (add, edit, delete) a field value in SPbinder, the information will sync directly to the tax software without requiring a manual export each time. Live Sync will run in the background giving you more time to review the binder and see the results appear in the tax software immediately.
Additionally, to help keep leadsheets up to date, Live Sync can streamline the import process by automatically fetching information from the tax software when a binder opens the
LEADS
tab for the first time uses Recalculate, or Force Calculate, Live Sync automatically imports up-to-date information from the tax software and populates the information into their respective areas in leadsheets.

Before you begin

Complete the following checklist items before proceeding forward:
  1. Enable Live Sync for your firm. When enabling Live Sync, you can specify if you would like to enable Live Sync for all firm binders or on a per-binder basis.
  2. Next, set up GoSystem Tax RS API integration with SurePrep. Once GoSystem's API is connected with SurePrep.
  3. Check out the requirements section to see if your binder qualifies for Live Sync.

Live Sync Overview

Step 1: Begin Initial Export
After setting up GoSystem Tax RS API, open a new binder (1040 binder type with leadsheets).
When you open a binder for the first time, Live Sync status will be inactive. The status in the bottom-left corner of the binder will show
Live Sync Inactive
.
Export the binder using the traditional
Export to Tax
feature. Live Sync won’t begin if documents (that is, OCR data) are ready and pending the initial export. You will see an alert (that is, a banner) requesting you to turn on Live Sync using
Export to tax
.
To turn on Live Sync, select the Export to Tax icon.
If your firm opted to enable Live Sync manually on a binder-by-binder basis then you may enable Live Sync after the
Export to Tax
is complete.
After exporting the binder successfully, Live Sync status will change to
Live Sync Ready
.
The initial export has been completed and Live Sync status is Live Sync Ready. Live Sync is now actively monitoring changes and will sync new information to the tax software. You may begin updating (that is, add/edit/delete) forms and fields.
Step 2: Live Sync Ready and Active
Live Sync is a one-way sync from SPbinder to the tax software. After the initial export (via Export to Tax ) is complete and the Live Sync status is Live Sync Ready, you will see a (blue) banner informing you to only make changes directly in SPbinder instead of the tax software. Updating information in SPbinder ensures that the data is in sync in both the binder and the tax software.
Select the
Do not show this message again
checkbox, then select
OK
.
If you or another user made changes in the tax software then you must use the '
Import TR
' feature to import new data from the tax software.
You can now start working in SPbinder (for example, add/edit/delete forms/fields).
SPbinder will begin saving changes and syncing information with the tax software in the background. No additional action is required. You may continue updating forms and fields in SPbinder as desired.
Once Live Sync finishes syncing to the tax software, Live Sync status will change to
Live Sync Active
. Live Sync status will switch between
Live Sync Active
and
Live Sync In Progress
during the sync process.
Your tax return data will stay up to date as you continue working in the binder.
Live Sync On Hold
Live Sync becomes inactive if it is not able to sync with the tax software. Live Sync status changes to
Live Sync On Hold
if Live Sync is not able to sync with the tax software. Point to the
Live Sync On Hold
status to see the tooltip on how to resume Live Sync.
Resolution: Close and reopen the binder. If the issue persists, please use the traditional
Export to Tax
feature to export the binder to return on Live Sync. If you see a (yellow) banner, then

Live Sync Leadsheet Comparison

Automatic Comparison
Live Sync automatically checks for tax return updates (in the tax software) when you open a binder and Live Sync status is Live Sync Active. If there is a discrepancy in the output amount in the tax software and Leadsheets, you will see a notification requesting you to complete
Import TR
. This help you know if you need to complete an import tax return information before working in the binder.
Compare TR
In addition to the automatic Leadsheet comparison check, Live Sync also offers you the ability to manually trigger a comparison check. You can use the
Compared Tax Return
(that is,
Compare TR
) button to check if the leadsheets are up to date or if an import is required from the tax software.
When you are working in a binder, if you or another user at the firm opened the client's tax return then
Compare TR
is a quick way to check in bulk Import is needed.

Auto-populate Leadsheet

When an import is needed, Live Sync streamlines the import process by automatically fetching information from the tax software when you:
  • Open the
    LEADS
    tab for the first time after opening the binder.
  • Use
    Recalculate
    or
    Force Calculate
    in the
    LEADS
    tab.

Additional information

  • After adding additional documents to the binder (with OCR data), you must also use Export to Tax to reactivate Live Sync.
  • Unlike traditional
    Export to Tax
    , you can keep the tax return open while you are working in the binder. You will see the information sync to the tax return right after it updates in SPbinder.
  • Live Sync does not replace the traditional bulk
    Export to Tax
    or
    Import TR
    . Live sync complements it for seamless workflow with little to no interruptions.
  • Your firm has the option to keep Live Sync enabled for all binders by default (firm-level option) or allow users at the firm to enable Live Sync when desired (binder-level option).
  • If Live Sync is active but certain fields are not syncing then the field may be part of a (fields) group that will only begin syncing after the remaining fields have been provided (for example, city, state, ZIP Code). Alternatively, the field may not be supported for Live Sync.
