Send the invite and reminder templates to clients

In Client Management, you can send your clients an invite to join TaxCaddy. The Invite template sent to your clients helps them log into their TaxCaddy account and connect with you. Sending
TaxCaddy Invitations
helps clients enroll.
Clients who have already been sent an invite but have not yet created an account can be reminded to do so using the
Invitation Reminder
template.
  1. Select
    Administrative
    , then
    CLIENT MANAGEMENT
    .
    Select Administrative, then CLIENT MANAGEMENT.
  2. On the
    MANAGE CLIENTS
    menu,
    TaxCaddy Invitation
    is selected by default. If you are sending an Invite template, continue to the next step.
    Select the MANAGE CLIENTS menu.
  3. To send the Reminder template, select
    MANAGE CLIENTS
    , then
    Invitation Reminder
    .
    Select Invitation Reminder from the Manage Clients menu.
  4. The status column shows which clients are eligible to receive the invite or reminder.

    Invite
    You can only select/send the invite to clients if they have the following status:
    • Not Invited
    • Not Connected
    Reminder
    You can only select/send the reminder to clients if they have the following status:
    • Not Enrolled
    • Not Connected
  5. Before sending an invite or reminder, you must first select the client(s).
    Option 1:
    Select the checkbox next to each client to only choose those clients.
    Select clients you would like to send the invite or reminder to.
    Option 2:
    To bulk select clients, select the 1st column header then select from the following options:
    • All Eligible
      - Selects all eligible clients in your firm from all pages. However, if you are currently using filters and/or search then
      All Eligible
      (clients) will only apply to clients who are currently filtered/searched. If you need to perform the same action separately for a different set of clients then you'll need to wait for the 1st bulk operation to complete before initiating the same action for the 2nd set of clients. Requires
      Manage Bulk Action
      permission.
    • All Eligible on Page
      - Selects all eligible clients on the current page.
      Select ALL ELIGIBLE ON PAGE to send to all clients eligible on the current page.
    Only users with the
    Manage Bulk Action
    permission can use
    All Eligible
    to select all eligible clients in the firm. Users without permission will see an error notification when attempting to bulk send to all.
    Notification that user must have the Bulk Send permission to perform this action in bulk.
  6. After you select one or more clients, a (blue) selection bar slides up from the bottom of the page. Select
    SEND TAXCADDY INVITATION
    to bulk send invites/reminder to all selected clients.
    Select
    DESELECT ALL
    to cancel and clear all selected clients.
    Select SEND TAXCADDY INVITATION to the selected clients.
  7. If sending the Invite/Reminder in bulk, the
    SEND INVITATION/REMINDER
    window will appear. Select
    CONTINUE
    to proceed with sending the selected clients their Invite/Reminder. Select
    CANCEL
    to return to Client Management.

  8. Clients that were sent the invite or reminder will have their status updated to
    Not Enrolled
    . Existing TaxCaddy users who were sent the invite have their status updated to
    Enrolled
    .
    Clients with the ENROLLED and NOT ENROLLED status in Client Management.
  9. A status notification appears once the bulk sending process initiates. Select the
    Refresh
    icon to see the current status. While the bulk send is processing, you can go away from the page and check back later. On the
    MANAGE CLIENTS
    menu, select the same template to check the status.

    Sending in bulk will 1st update the client
    STATUS
    as
    IN QUEUE
    and
    IN PROCESSING
    .

What your clients see in the invitation and new account

Here's what your clients see during the account enrollment process and their 1st time logging in. Your client creates an account by selecting the link in your invite or reminder email. More detailed information is available in the taxpayer-facing TaxCaddy Help Center.

Your connection request appears on your client’s Overview screen. They'll need to approve your request to connect before you can begin sending messages, letters for sign and review, and document requests.
