Send questionnaires to clients

Sending the questionnaire to your clients will let them answer your questions directly from TaxCaddy.
In addition to sending your firm's questionnaire, you can send your clients a request to get their personal information(for example, SSN, Address, etc.). If enabled, your client will also receive a
Personal Information
task to provide their personal information for your records.

Before you start

You can review and update the questions before sending the questionnaire to your clients.

Send questionnaires to clients

  1. Select
    Administrative
    , then
    Client Management
    .
    Select Administrative, then CLIENT MANAGEMENT.
  2. Select
    MANAGE CLIENTS
    .
    Select the MANAGE CLIENTS menu.
  3. Select the questionnaire.
    Select Questionnaire from the MANAGE CLIENTS menu.
    You will see the following messages if your firm used all the remaining pre-purchased TaxCaddy Gather or Deliver units.
    Notification that your firm has depleted its TaxCaddy Gather and/or Deliver units.
  4. The status column shows which clients are eligible to receive the questionnaire.
    NOT ELIGIBLE, NOT SENT, and SENT statuses a client may have when sending questionnaires.
    You can only select or send the questionnaire to clients if they have a status of
    Not Sent
    .
  5. Select the clients to send the questionnaire in bulk:
    Option 1:
    Select the checkbox next to each client to only select those clients.
    Select the clients you'd like to send the questionnaire to.
    Option 2:
    To bulk select clients, select the 1st column header then select from the following options:
    • All Eligible
      - Selects all eligible clients in your firm from all pages. However, if you are currently using filters and/or search then
      All Eligible
      (clients) will only apply to clients who are currently filtered/searched. If you need to perform the same action separately for a different set of clients then you'll need to wait for the 1st bulk operation to complete before initiating the same action for the 2nd set of clients. Requires
      Manage Bulk Action
      permission.
    • All Eligible on Page
      - Selects all eligible clients on the current page.
    Select ALL ELIGIBLE ON PAGE.
    Only users with the
    Manage Bulk Action
    permission can use
    All Eligible
    to select all eligible clients in the firm. Users without permission will see an error notification when attempting to bulk send to all.
    Notification that Bulk Send permission is restricted.
  6. After you select the clients, a (blue) selection bar slides up from the bottom of the page. Select
    SEND QUESTIONNAIRE
    to bulk send the questionnaire to all selected clients.
    Select
    DESELECT ALL
    to cancel and clear all selected clients.
    Select SEND QUESTIONNAIRE to send the questionnaire to the selected clients.
  7. When the confirmation message appears, select
    CONTINUE
    to bulk send the letter to all eligible clients.

  8. Bulk Send
    status notification appears on the screen when the bulk-sending process initiates. Select
    Refresh
    to view your current progress.
    Notification that TaxCaddy will send the questionnaire to the selected clients.
    Your bulk send task will be added to a queue before it can proceed.
    YOUR POSITION IN QUEUE
    will show you your place in the queue. The queue length and duration may vary from minutes to hours.

    After the task begins, you will see the current progress
    Notification that TaxCaddy is sending the questionnaire to the selected clients.
  9. While the bulk send is processing, you can go away from the page and check back at a later. When you return, select
    Questionnaire
    from the
    MANAGE CLIENTS
    .
    Notification that the questionnaire has been successfully sent.

Questionnaire status

The Questionnaire Status determines whether you are able to send the questionnaire or not.

Nothing - provide missing tax info to proceed
You can't send questionnaires to clients with this status because their client record is missing info required to invite the client to use TaxCaddy.
Not Eligible
Nothing - this account is not able to receive a questionnaire
Clients are not eligible for the questionnaire if they are either
Offline
or
Duplicate
accounts.
Not Sent
Send
TaxCaddy is ready to send the questionnaire.
Sent
Wait for client
Add questions
The questionnaire has been sent to the client and is awaiting completion by the client.
Completed
File to Tax Documents
Add questions
This status indicates the client has completed 100% of their questionnaire. If the questionnaire progress becomes less than 100% because you added questions or the client-removed answers, the status reverts to Sent.

Clients notification

Your clients will receive an email notification after you send the questionnaire. They also see the Questionnaire appear on their task list when they log in.
