Find solutions to the problem of a file with a Status stuck at
Checked out
.Scenario
Users are unable to edit a file because its Status continues to be
Checked out
.Cause
Engagement Manager
sets the Status of a file to Checked out
when the file is opened in Edit mode, and removes this Status when the document is saved back to Engagement Manager
. Engagement Manager
won’t remove the Checked out
status if:- a user's connection toEngagement Manageris interrupted while they edit a file
- a user has attempted to edit an email message.
note
Email messages in
Engagement Manager
can't be edited. If a user tries to edit an email, the file will remain checked out to this user.Solution 1: open the file and save it back to GoFileRoom
If a copy of the edited file still exists, you can keep the changes that the user made by using either method below to open the file and save it back to
GoFileRoom
.- Use one of the following methods to find the checked out file:
- Open Word or Excel, select theGoFileRoomtab, thenDisplay Local Files.
- To look for Office documents, go toC:\Users\<username>\AppData\Roaming\GoFileRoom\GFROffice\docs
- To look for PDFs, go toC:\Users\<username>\AppData\Roaming\GoFileRoom\GFRAcrobat\Docs
- Double-click the Checked out file to open it.
- SelectSave to GoFileRoom.
- SelectSave the document to GoFileRoom and close the document.
Solution 2: use Undo Checkout in Engagement Manager

If you use this solution, you'll lose any changes made to the file after it was last saved back to
Engagement Manager
.You'll need a user account that has been granted the
Undo Checkout
permission.- On theWorkpaperstab, right-click the file and selectAdministration, thenUndo Checkoutfrom the context menu.
Solution 3: undo checkout with GoFileRoom ControlPanel

If you use this solution, you'll lose any changes made to the file after it was last saved back to
Engagement Manager
.- OpenGoFileRoomControlPanel.
- Select theLocal Filestab.
- Mark the checkbox for the Checked out file.
- SelectOptions.
- SelectUndo Checkout(s), thenOK.
Solution 4: override checkout with the Document Tracking Report

If you use this solution, you'll lose any changes made to the file after it was last saved back to
Engagement Manager
.- InGoFileRoom, selectReports, thenDocument Tracking.
- Select the Drawer that contains the index of the file.
- Select theChecked OutStatus.
- Select the file.
- Right-click the file and selectOverride Checkoutfrom the context menu.
