Invoices Report

The Invoices Report provides several criteria for reporting invoice information, including date ranges and invoice statuses (approved, pending and rejected). In addition, you can access specific invoice information directly from the report.

Comparison of Total Spending Report and Invoices Report

The Total Spending report is similar to the Invoices Report but the Invoices Report lets you retrieve and display invoice information. The Total Spending report always provides totals but does not allow you to obtain the individual invoice information.

The totals in the two reports may not be the same. The Total Spending report shows you the total of approved invoices plus the total amount of unapproved invoices. The Invoices Report shows you the total amount approved for a set of invoices. If an invoice is not approved, the billed amount is not included in the total. The Invoices Report also shows the total billed for a set of invoices whether the invoice is approved or unapproved. Thus, the totals in the two reports are different numbers.
Complete the following if you want to use the two reports to cross-check your numbers:
  1. Run the Total Spending report. Note all of the criteria, such as open vs. closed matters.
  2. Run the Invoices Report for approved invoices only. Make sure the criteria is an exact match of the Total Spending report criteria.
  3. Run the Invoices Report for unapproved invoices only. Make sure the criteria is an exact match of the Total Spending report criteria.
  4. Add the billed amount of the unapproved invoices to the approved amount of the approved invoices. The sum should equal the total of the Total Spending report. If the totals do not match, check the criteria of the reports to make sure you ran them consistently.
    Occasionally, an invoice will be posted or approved during the time you are running reports, which will result in differences. You should run the reports again to see if any amounts changed.

Run the Invoices Report

When you run a report, the results are displayed in the browser window where Tracker is being run. You can print and export the report. Exporting the report lets you save the results then share the results with other users.
To run the Invoices Report:
  1. Click
    Reports > Report List
    in the left navigation.
  2. Click
    Invoices Report
    under
    Spending Reports
    .
  3. Specify the report criteria.

    The
    Export Format (Extended Data) Currency Selection
    field applies to the report only if it is exported to a file. If you run the report, the currency displays in your user currency, not the invoice currency.
  4. Click
    Run
    in the toolbar.

After you run the report, the
REPORT CRITERIA
collapsible section is minimized to allow you to view your report results. To quickly change any of the reporting criteria and generate a new report, click the heading of the
REPORT CRITERIA
collapsible section to expand it.

View an Individual Invoice from the Report Results

You can access and view an invoice directly from the report results. To access and view an invoice from the report results:
  1. If necessary, run the Invoices Report to display the report results.
  2. If you selected grouping criteria, click + to display the invoice level.
  3. Click the invoice icon or the invoice number for the invoice you want to view. Clicking the invoice number displays the invoice profile page, which includes information such as whether the invoice is approved, when it was posted and any company comments.
Exporting the Report
After you run the report, you can export the contents to a file.
