Notifications

The “
Notification Configuration
” screen is used to setup custom notifications to trigger e-mail reminders based on:
  • Anticipated Sail Date
  • Booking Date
  • Estimated Arrival Date
  • A user-defined query for Security Filings
This screen can be opened by
choosing
“Notifications” from the “Maintenance” menu.
A single notification is created from this screen, which will then monitor all open Security Filings within the system. When the notification is triggered, the system will send an e-mail reminder to the listed users in the notifications e-mail listing. The e-mail includes a link to the specific Security Filing that triggered the notification. These reminders can be used to ensure Security Filings are being transmitted to CBP in a timely manner.
It is important to note that a notification will not be active, and no e-mails will be sent until at least one e-mail address in the notification configuration has been assigned.
To
activate
e-mail notifications for system triggers,
check
the “Active” box.
Notifications can be made active or inactive and/or modified at any time by choosing the description of the Notification from the “Notifications” drop-down.
Additionally, when creating a notification, the user has the ability to select field values found on a Security Filing to be included in the e-mail notification sent to the indicated e-mail address. To choose any of the following, check the corresponding box:
  • Importer of Record Name
  • Client File #
  • CBP Status
  • Vessel Sail Date
Notifications can be useful in the case when there is data received ahead of an Anticipated Sail Date and users pre-emptively enter information in order to prepare the Security Filing. With the proper notification setup, an e-mail reminder can be sent to individuals based on the chosen “Threshold (in days)” of the Anticipated Sail Date in order to inform that a Security Filing needs to be completed and transmitted to CBP in a timely manner.
Notifications are not dependent on filing status. If a Security Filing has been transmitted to CBP and that Security Filing has been accepted by CBP before the specific trigger event occurs, a notification about the Security Filing will still be received. This allows the user a chance to confirm the data on the Security Filing as the date of interest approaches.
In addition to the date field queries available, notifications can be created based on other queries allowing the user to define situations for which they wish to receive an e-mail notification about a Security Filing. This can be used to send automatic e-mail notifications based on filing status, such as whether the Security Filing was accepted or rejected.
At the bottom of the “Notifications Maintenance” screen, the user can add e-mail addresses to receive the Notifications sent when the Notification rule is triggered for a particular Security Filing. Once a notification is triggered, the Notification e-mail will be sent to everyone on the mailing list shown on the “Notification Maintenance” screen.
