Roll forward datasets automatically

In addition to Manual Roll Forward, ONESOURCE has a feature to automatically roll forward datasets.
You must manually create a dataset for the first period. After the data set is created, ONESOURCE Indirect Tax Compliance rolls forward the datasets to succeeding periods at a set date, the last Saturday of the month.
Automatic roll forward is based on the periodicity and the dates provided when creating the dataset for the first period. For example, if periodicity is selected as Monthly and last date is set to 31 Jan, it automatically rolls forward the dataset to February for the date range 1 Feb – 28 Feb.
  • With auto roll forward, all the calculations in a dataset will be rolled forward at once and not per calculation.
  • With manual roll forward, all the calculations in a dataset will be rolled forward at once and not per calculation.
Auto roll forward works for datasets when the periodicity is monthly, bi-monthly, quarterly, or annual.

Automatic Scheduling of Roll Forward Jobs

Datasets will roll forward on the last Saturday of every month. This applies for datasets with an end date in the current month, regardless of whether these are monthly, bimonthly, quarterly or annual. Datasets will be rolled forward with the periodicity set in the dataset parameters for the current month.
note
  • Roll forward through IMPORT is blocked. (Existing auto roll forward case does not work.)
  • If a client does not want a particular dataset to be rolled forward, such as a test dataset, check the checkbox
    No auto roll forward
    for the relevant dataset.
Conditions that Prevent Datasets from Being Rolled Forward Automatically
Datasets will not be rolled forward at the end of the month if
Enable automatic roll forward
is not checked in
Settings
or if any of the following are true:
  • The dataset is weekly or bi-weekly.
  • The dataset purpose is a corrective return or Other return.
  • The dataset has
    No Auto roll forward
    flag as true.
  • The dataset does not have an end date in the current month.
note
This means that datasets used for reconciliation during UAT for prior periods will not be rolled forward automatically. These must instead be rolled forward manually during UAT until live data starts to be imported.
You will now see datasets in the system before you import data for the relevant month. This is due to the scheduled job having run.

Enabling Auto Roll Forward Using the Scheduler

You can enable datasets to roll forward automatically.
  1. From the
    Administration
    tab, select
    Settings
    .
  2. Check the Enable Automatic Roll Forward checkbox.
  3. Select
    Save
    .

Disabling Auto Roll forward

We understand some customers may want to disable automatic roll forward and manually roll forward instead. If you would like to disable automatic roll forward for your database and manually roll forward all datasets, please contact the ONESOURCE Customer Support team or your super user to configure this.
  1. From the
    Administration
    tab, select
    Settings
    .
  2. Uncheck the Enable Automatic Roll Forward checkbox.
  3. Select
    Save
    .

Adding an Entity to a Dataset

You can add an entity once the dataset is created.
  1. Create a new entity.
  2. Select the particular Group Structure.
  3. On the Returns screen, select
    Edit Dataset
    and add the entity.
  4. Select
    Refresh
    to show the new entity.

Removing an Entity from a Dataset

You can remove the entity after the dataset has been rolled forward.
  1. On the Returns screen, highlight the dataset.
  2. Uncheck the checkbox for the return you want to remove.
  3. Select
    Refresh
    .
Changing the filing date or periodicity of a dataset
You can change the periodicity of a dataset. For example, you can change from monthly to quarterly, monthly to bi -monthly. Once you have changed the periodicity (for example from 1st Jan to 29th Feb for a monthly to bi-monthly case), you must be sure to change the filing date as well.

Changing the Auto Roll forward setting

  1. Select the dataset.
  2. Select
    No Auto Rollforward
    to uncheck it.
  3. Select
    Finished
    .
Roll Forward Audit Details
From the
Administration
tab, select
Roll Forward Audit details
to show all the datasets that do not have No Auto Roll forward set to True on the Returns screen for the relevant database. This screen also shows the status (completed, in progress, done) for each of the datasets.
Rerunning Failed Roll Forwards Jobs
If a dataset has not rolled forward (the job has failed for that particular dataset), it will be shown as
Failed
in the Roll Forward Audit Details screen.
If this is the case, an option has been provided for Support to be able to re-run the dataset roll forward job in question.

Changes to the User Experience from Older Versions

  • Datasets are no longer rolled forward on import of data. This means that datasets that do not have an end date in the current month needs to be rolled forward manually (such as for UAT when the prior period's data is imported).
  • Users see datasets for a period prior to data for the relevant period being imported. This is to enable the best user experience for clients who import on a daily/weekly basis, as well as for monthly importers.
Changes to the Returns Screen
On the Returns screen, a new column
NO AUTO R/F
has been added to indicate whether datasets should be rolled forward automatically. You can use this feature to automatically roll forward some datasets but not others.
note
Enable automatic roll forward must still be enabled (set to True) in Settings for automatic roll forward to apply.
  • The default setting is False. (The dataset will roll forward automatically.)
  • The setting is per dataset, not per return.
  • This checkbox is set under
    Edit dataset
    and result is shown on the Returns screen.
