Live Sync FAQ
General questions for all users
- What is Live Sync?Live Sync automatically synchronizes information from SPbinder into the tax software in real-time. When you update (add, edit, delete) a field value in SPbinder, the information will sync directly to the tax software without requiring a manual export each time.
- How do I start using Live Sync? You are working with a 1040 & 1041 binder type with Classic and Simplified Leadsheets. Open binder, then complete "Export to Tax Software" for the first time. When the status changes toLive Sync Readyyou can start working.
- What do the status indicators mean for Live Sync feature?Live Sync has five main statuses (Inactive, Ready, In Progress, Active, and On Hold) that indicate whether the feature needs activation, is monitoring changes, is syncing updates, or requires troubleshooting. Visit the Live Sync statuses article for full details on each status and required actions.
- Should I make changes in SPbinder or tax software?Always make changes in SPbinder to ensure proper synchronization if you are using Classic Leadsheets. In case of Simplified Leadsheets, entries made in Organizer screen in tax software do not sync back to SPbinder, but tax software Output values sync to SPbinder Leadsheets -Per Tax Returncolumn.
- Can I enable/disable Live Sync per binder?Depending on firm settings whether to enable Live Sync to All Binder or Binder by Binder basis, use FileRoom OPTIONS menu or SPbinder Quick Access Toolbar.
- Can I work while sync is "In Progress"?Yes, continue working. New updates get queued automatically.
- What should I do when adding new documents? After adding documents with OCR data, use Export to Tax to reactivate Live Sync.
- Why do I see theLive Sync On Holdstatus?TheLive Sync On Holdstatus appears if there is:
- A service disruption
- An internet connectivity issue
- New information is added directly to the tax software
- GoSystem Tax RS API token expired
To avoid the binder from being out of sync with the tax software, Live Sync is put on hold. To recalibrate and sync the binder and the tax software you may need to close and reopen the binder, then useExport TRorImport TRdepending on the issue. Point to theLive Sync On Holdstatus to see the action that needs to be taken. - Does Live Sync allow the tax return and the binder to be open simultaneously?Yes, both can be open at the same time, but not necessary. You do not need to keep the tax return open in the tax software unless you want to see how the information is syncing to the tax software as you make updates in SPbinder. For the traditional Export TR and Import TR features, you need to close the tax return in the tax software before initiating the functionality.
- Does Live Sync replace the traditional Export TR and Import TR features?Live sync does not replace the traditional bulkExport TRandImport TRbut complements it for seamless workflow with little to no interruptions.Live Sync queues each field-level update (add, edit, and delete) into the tax software in real-time. Whereas, the traditionalExport TRsends all the binder information to the tax software in one bulk operation.noteExport TRis required to activate Live Sync when you open the binder for the first time or after you add additional documents to the binder.Similarly, Import TR brings in all the information from the tax software in one bulk operation. Live Sync'sCompare TRfeature allows you to check if an import is needed. Live Sync also fetches new information from the tax software into thePer Tax Returncolumn in Leadsheets when youRecalculate,Force Calculate, or open theLEADStab for the first time.
- What's the difference between Classic and Simplified Leadsheets?Classic: All entries made in Input form and K-1 Reclass in SPbinder are synced to the tax software Organizer screen.Simplified: No Input form is available for Simplified Leadsheets. Values added via K-1 Reclass are synced to the tax software Organizer screen.noteFor Classic and Simplified, entries made in the tax software (Organizer) do not sync back to SPbinder. Only the tax software Output values sync back to SPbinder Leadsheets -Per Tax Returncolumn.
- When does GoSystem Tax RS API token expire?GoSystem Tax RS API token expires 90 days after being integrated with SurePrep. The API token can also expire before the 90 days if the user who created the token changes their GoSystem Tax RS login password.
- What if I already made the changes in the tax software before opening the binderUseImport TRto import the new data and sync the changes with SPbinder.

Advanced troubleshooting
- How will I know if I or another user made changes directly in the tax software? You can useCompare TRto compare Leadsheet values with the tax software. Compare TR helps you save time by informing you if the Leadsheet information is in sync or if you need to complete an import (viaImport TR).
- Will leadsheets import new amounts automatically?New amounts are automatically imported from the tax software when theLEADStab is activated for the first time. However, if you make any changes to the forms/fields after the initial tab activation, then you need to manually Recalculate or Force Recalculate leadsheets to import updated values that were synced to the tax software. If information is added to the tax return (in the tax software), will that information carry back to SPbinder (to both ‘Per Tax Return’ column (in Leadsheets) and the applicable Forms fields), when no source document is present in which to connect with in the Forms fields?Live Sync is a one-way sync from SPbinder to the tax software. Inputs made directly in the tax software will not automatically sync back to the binder. When you reopen the binder or clickCompare TR, you will be alerted that some changes were made and you’ll need to do a traditionalImport TRto pull the updated numbers in the leadsheets. However, none of the input forms and fields will be updated. The best practice is to always make entries in the binder so that the Live Sync feature can automate the export to tax software and import back into leadsheets without manual intervention in both, the tax software and SPbinder.
