Enter A/R adjustments: Debit memos
You can enter adjustments to A/R (Accounts Receivable) balances in Practice CS in the form of credit memos, debit memos, and write-offs.
Debit memos increase accounts receivable. You can't apply them to other items. Credit items are applied to debit memos. Think of a debit memo as an invoice with no time, expenses, or WIP.
- SelectActions, thenReceipt & Adjustment Entry.
- Enter aControl Date.
- Select theAdjustmentstab.
- Enter theDate. This is the date the transaction will be posted.noteTo change the date to default to theControl dateorToday's date, go to theReceipt & Adjustment Entrytab, and selectSetup, thenUser Preferences.
- Enter or select the client.
- SelectDMinType.
- You can enter aReference Number, if needed.noteTheReference Numberis 30 characters of text that you can use for any purpose.
- Enter theAmountof the debit memo.
- You can enter aCommentto describe the reason for the debit memo and who requested or authorized it.
- PressEnterorTabto complete the transaction and move the cursor to the next transaction.
- If you use approval and posting, post the debit memo.
- Once you enter the debit memo, you can take the following steps to apply a receipt to it.noteIf you don't apply a receipt, the debit memo will be an open amount in the client's A/R. If you haven't received payment yet, you can do these steps later.
- Go to theReceiptstab in theReceipt & Adjustment Entryscreen.
- Find the receipt to apply to this debit memo (there might be more than one).
- If you use approval and posting, unpost the receipt.
- Select the ellipsis button between theAmountsandApplied Amountscolumns.
- For the debit memo, use theApplied Amountcolumn to enter the amount of this receipt to apply to the debit memo.
- SelectOK.
- If you use approval and posting, post the receipt.
