Customize the Invite and Reminder templates

Template toolbar

You can use the Template toolbar to format any custom letter before sending them to clients.

Template toolbar

The following table is a brief overview of the Template toolbar:
Name and icon/list
Description
Style
Format the text as a header, quote, code, or normal.
Bold
Makes the text bold.
Italic
Italicizes the text.
Underline
Underlines the text.
Remove Font Style
Clears any stylized changes made to the text and reverts the text to default settings.
Font
Lets you select a new font style for your text.
Font Size
Change the size of your text.
Font Color
Change the text color and highlight the text with a background color.

Line Height
Changes the amount of space that appears between lines of text.
Unordered List
Creates a list with bullet points.
Ordered List
Creates a list of numbers.
Paragraph Alignment
Aligns and indents text. For best results, set text-alignment to
Justify full
 in Letters templates.
Link
Inserts a hyperlink text.
Picture
Inserts an image to the letter template.

Horizontal Rule
Inserts a horizontal line as a divider.
Table
Inserts a table. Select the picklist icon to select the number of rows and columns.
Strikethrough
Add a line through the text. (that is, the red hat).
Superscript
Changes the highlighted text to very small letters over the line of text.
Subscript
Changes the highlighted text to very small letters under the line of text.
Table
Lets you edit the letter template manually using HTML code.
Undo
Reverts changes by undoing the last action.
Redo
Restores the last action removed using undo.
Mail Merge
Personalizes the email template according to the client's personal information.

Color picker

To apply foreground and background color settings, select the color icon.
To select different foreground and background colors, select the picklist icon.
Select a color to update the background color. If the colors provided don't suit your firm's needs, you can choose
Select
 to pick a specific color.
he color selector will appear on your screen, letting you choose the color of your choice. Your selected color will be reflected in the
Background Color
 section.
You can select a provided color for your
Text Color
, or you can select
Select
 for a specific color that suits your firm's needs.

Insert image

To insert an image to the letter template, you must first acquire the image URL from your web hosting location or an image hosting service.
Follow these steps to insert an image to a letter template
:
If your image is hosted on a website then right-click the image to open the shortcut menu, then select the following option based on your browser:
  • Chrome - On the shortcut menu, select
    Copy image address
    .
  • Firefox - On the shortcut menu, select
    Copy Image Link
    .
Once you have copied the image location, select the
Picture
 icon.
When the
Insert Image
 window appears, paste the image location in the
Image URL
 field.

Use this link to upload documents
 feature is only supported for Letters. To insert an image to Invite and Reminder templates, use the
Image URL
 feature.
To paste the image location, right-click the
Image URL
 field, then select
Paste
.

You can also press
Ctrl
 +
V
 to paste the image link.
Select
Insert Image
.
If inserted successfully, the image will appear in the template.

Mail merge

Mail merge lets you personalize each email according to the client's personal information.
For example, when sending a letter to Tom, Tina, and Thomas, you can send the same email template to all 3 clients. TaxCaddy will automatically insert the correct client name for each client.
Tom's email will say “Hello Tom”
Tina's email will say “Hello Tina”
Thomas's email will say “Hello Thomas”
To use the Mail Merge feature, select
Mail Merge
 to see all available options.
Select an option on the
Mail Merge
 menu.
You can use the following options to personalize the client's letter template:

Greeting_Line2
 will always say “Mr. and Mrs.”, therefore it is not recommended for letters sent to same-gender couples.
The template will insert a placeholder for that option. Placeholders will be replaced with each client's personal information available on the
Client Management
 screen.
