Process corrected 1099 forms

Follow these steps to process corrected 1099 forms.

Incorrect amount or 1099 filed in error

  1. Select
    Actions
    , then
    Edit Payroll Tax Forms
    .
  2. Select the client from the
    Client
    dropdown.
  3. Select
    Corrected
    in the
    Form type
    dropdown, and
    1099
    in the
    Form
    dropdown.
  4. Select the form you need to correct in the
    Originally Filed Form
    field.
    note
    The
    Corrected Form to be filed
    field defaults to the same selection.
  5. Select the year of the form to correct, then
    Refresh
    . Select a copy to display from the
    Form
    dropdown.
  6. In the
    Recipient Selection
    tab, select the recipients in the
    Available Recipients
    pane that need corrected forms, then
    Select
    to add them to the
    Selected Recipients
    pane.
  7. Go to the
    Original - Recipient Data
    tab and make sure the amounts for the selected recipients are reported as they were originally filed.
    note
    • You can use
      Override
      and
      Clear All Overrides
      to modify information here if necessary
    • When filing the correction via the
      Electronic
      filing method, additional setup is required for
      Original E-file Information
      that's available in either the
      Original – Recipient Data
      or
      Corrected – Recipient Data
      tabs. The Receipt ID, Submission ID, and Record ID need to be added for each 1099 recipient being corrected.
  8. Go to the
    Corrected - Recipient Data
    tab and change the recipient data to the correct information.
    note
    • The
      Original – Recipient Data
      tab and the
      Corrected – Recipient Data
      tab reflect the data and setup information currently in the client record. If you haven't corrected the information in the client record yet, make the corrections on the
      Corrected – Recipient Data
      tab only. If you've already corrected the information within Accounting CS, edit the
      Original – Recipient Data
      tab to match the form as it was originally filed. Then enter the correct information on the
      Corrected - Recipient Data
      tab.
    • If the original 1099 was filed in error, the amounts on the corrected tab should be 0.
  9. Make any necessary changes to the information on the
    Client Data
    tab.
  10. When you're done making changes, select Process client forms
    Process Client Forms
    . Accounting CS creates:
    • A corrected 1099 form reporting how the amount boxes should've been reported.
    • A 1096 form summarizing the amounts from the corrected 1099. Unlike other corrections, a 1099 with a wrong amount doesn't need notation.
  11. Select the appropriate copies and a filing method in the
    Process Client 1099 Forms
    window. Then select
    Process Selected
    to print paper copies or queue the internet files.

No recipient ID number, incorrect recipient TIN, or incorrect recipient name

  1. Select
    Actions
    , then
    Edit Payroll Tax Forms
    .
  2. Select the client from the
    Client
    dropdown.
  3. Select
    Corrected
    in the
    Form type
    dropdown, and
    1099
    in the
    Form
    dropdown.
  4. Select the form you need to correct in the
    Originally Filed Form
    field.
    note
    The
    Corrected Form to be filed
    field defaults to the same selection.
  5. Select the year of the form to correct, then
    Refresh
    . Select a copy to display from the
    Form
    dropdown.
  6. In the
    Recipient Selection
    tab, select the recipients in the
    Available Recipients
    pane that need corrected forms, then
    Select
    to add them to the
    Selected Recipients
    pane.
  7. Go to the
    Original - Recipient Data
    tab and make sure the amounts for the selected recipients are reported as they were originally filed.
    note
    • You can use
      Override
      and

    • A corrected 1099 form displaying how the form was originally submitted, but with the money amount boxes blank.
    • A 1099 form displaying what should've been submitted, including the correct amounts in the amount boxes.
    • A 1096 form summarizing the amounts from the corrected 1099. Unlike other corrections, a 1099 with a wrong amount doesn't need notation.
  11. In the
    Process Client 1099 Forms
    window, select the appropriate copies and a filing method. Then select
    Process Selected
    to print paper copies or queue the internet files.

Wrong type of return

note
These steps only apply to the
Preprinted
and
Internet
filing methods. This type of correction isn't supported using the
Electronic
filing method at this time.
  1. Select
    Actions
    , then
    Edit Payroll Tax Forms
    .
  2. Select the client from the
    Client
    dropdown.
  3. Select
    Corrected
    in the
    Form type
    dropdown, and
    1099
    in the
    Form
    dropdown.
  4. In the
    Originally Filed Form
    field, select the form type that was initially filed.
  5. In the
    Corrected Form to be filed
    field, select the form type that should've been filed.
  6. Select the year of the form to correct, then
    Refresh
    . Select a copy to display from the
    Form
    dropdown.
  7. In the
    Recipient Selection
    tab, select the recipients in the
    Available Recipients
    pane that need corrected forms, then
    Select
    to add them to the
    Selected Recipients
    pane.
  8. The
    Original - Recipient Data
    tab displays the original form data for the selected recipients. Verify the recipient name, EIN, and address.
  9. Make any necessary changes to the information on the
    Client Data
    tab.
    • Verify the recipient name, EIN, and address.
    • Complete the amount boxes as they should've been filed.
    • The
      Original – Recipient Data
      tab and the
      Corrected – Recipient Data
      tab reflect the data and setup information currently in the client record. If you haven't corrected the information in the client record yet, make the corrections on the
      Corrected – Recipient Data
      tab only. If you've already corrected the information within Accounting CS, edit the
      Original – Recipient Data
      tab to match the form as it was originally filed. Then enter the correct information on the
      Corrected - Recipient Data
      tab.
  10. Make any necessary changes to the information on the
    Client Data
    tab.
  11. When you're done making changes, select Process client forms
    Process Client Forms
    . Accounting CS creates:
    • A corrected 1099 form displaying how the form was originally submitted, but with the money amount boxes blank.
    • A 1099 form displaying what should've been submitted, including the correct amounts in the amount boxes.
    • A 1096 form with the notation
      Filed to Correct Return
      .
  12. In the
    Process Client 1099 Forms
    window, select the appropriate copies and a filing method. Then select
    Process Selected
    to print paper copies or queue the internet files.
