State 1099 files

Create state 1099 files

A client's state 1099 files are processed automatically when you process their federal 1099 Copy A and the 1096 using the Internet filing method. For 1099-NEC and 1099-MISC, the state internet files are also automatically created when you process the federal Copy A and 1096 using the Electronic filing method.
The application creates the federal and state 1099 files using the following (default) file structure.
WinCSI\Accounting CS Data\Forms\[processing period end date]\[jurisdiction abbreviation]\Batch File X\[actual file]

State 1099 form processing tips

  • The Federal 1099 files are not created in the Combined Federal/State Filing (CF/SF) program format.
  • The files created for each state are to be sent directly to the appropriate state agency, not the IRS FIRE or IRIS systems.
  • Contact the appropriate state agency for registration and filing information.
Example: When processing the federal and Massachusetts 1099 forms at the same time
  • The federal 1099 is created in this folder:
    WinCSI\Accounting CS Data\Forms\12-31-XX\US\Batch File X\filename.
  • The Massachusetts 1099 is created in this folder:
    WinCSI\Accounting CS Data\Forms\12-31-XX\MA\Batch File X\filename
    .
To determine which 1099 file types are available for each state, refer to the state-specific information in the following section.

State-specific 1099 file information

The following lists the 1099 file types that can be created for each state. For more information, refer to the Payroll Form and Filing Information portlet on the Home Dashboard in the application.
important
  • An
    asterisk (*)
next to a state in the table means that we currently do not process state 1099 files for that state.
  • An
    exclamation mark (!)
next to a state means files are created only when there are state withholding amounts on the 1099.
  • Unless otherwise noted, the application creates files only for the state that is the client's primary business location.
